About The Position

The Administrative Assistant provides support services and performs clerical and computer-related duties across plant and laboratory operations. This role supports daily administrative functions, helps maintain accurate records, and partners with multiple departments to ensure smooth and efficient site operations.

Requirements

  • High School Diploma or equivalent (Bachelor’s Degree preferred, not required)
  • 1–2 years of experience or equivalent
  • Strong organizational skills, including the ability to manage multiple priorities and deadlines
  • Ability to work independently while also supporting a team environment
  • Comfortable working in a fast-paced manufacturing setting with changing priorities
  • Strong attention to detail and accuracy
  • Effective communication and interpersonal skills
  • Customer-focused mindset with the ability to balance service and operational needs
  • Problem-solving skills and willingness to take initiative
  • Ability to maintain confidentiality and handle sensitive information appropriately

Responsibilities

  • Provide general administrative support including typing, copying, mailing, filing, and document preparation
  • Serve as a point of contact for visitors, vendors, and incoming calls, directing inquiries as needed
  • Create and maintain documents such as invoices, reports, customer documentation, and operational records using various computer systems
  • Support purchasing and inventory activities, including ordering office and plant supplies and maintaining accurate records
  • Assist with shipping needs, including coordinating outbound shipments and managing carrier accounts
  • Maintain organized electronic and physical filing systems, ensuring documentation is accurate and accessible
  • Review and process invoices, confirmations, and receipts, and support tracking of vendor activity and recurring expenses
  • Assist with basic financial and data entry tasks, including working within company systems to review and update information
  • Coordinate general office needs such as scheduling meetings, supporting site events, and maintaining a clean and welcoming environment
  • Partner with site leadership and departments such as maintenance, operations, and EHS to support administrative needs and compliance-related activities
  • Support maintenance and operational tracking by assisting with recordkeeping, work order documentation, and follow-up on required activities
  • Communicate effectively across departments to ensure timelines, priorities, and updates are understood and supported
  • Provide flexible support to other team members and departments as needed
  • Maintain strong working relationships with vendors and internal teams to support day-to-day operations
  • Track and follow up on orders, deliveries, and outstanding items to ensure timely completion
  • Assist with coordinating contractor visits and maintaining required documentation
  • Support ongoing process improvements by identifying opportunities to improve organization and efficiency
  • Perform other administrative and operational support duties as assigned
