The Administrative Assistant is essential to the flow of communication and coordination across project and service teams. This role provides administrative, scheduling, documentation, and coordination support to the Assistant Project Manager (APM) and Senior Service Managers—helping keep teams aligned, informed, and moving forward. By owning the details, communication flow, and organization behind the scenes, the Administrative Assistant enables project and service leadership to stay focused on customers, execution, and sound decision-making. This role is essential to keeping projects running smoothly in a fast-paced environment with many moving parts. The ideal candidate is a proactive problem solver who works independently, adapts quickly to changing priorities, and communicates effectively in a fast‑paced environment with many moving parts.

Requirements

Responsibilities

  • Create, update, and maintain project schedules
  • Maintain project calendars and key deadlines.
  • Schedule meetings, including invites, logistics, and materials.
  • Take meeting notes, document decisions, and distribute action items.
  • Post notes and updates in appropriate systems to ensure project visibility.
  • Record changes, track progress data, and organize project documentation.
  • Maintain project files, correspondence, and status records.
  • Support information flow between field teams, engineering, and project leadership.
  • Assist with assembling project reports
  • Support travel planning, expense reports, and onboarding logistics for project team members.
