The Administrative Assistant for the Systems Operations department plays a critical role in supporting the organization's mission by ensuring efficient and smooth operations within the department. This position requires a dedicated individual who is committed to aiding our team in various clerical, data entry, and administrative tasks, contributing to the overall success of the organization.

Requirements

  • High School diploma or equivalent GED
  • Minimum of 1 year of clerical experience in an office setting.
  • Strong knowledge of MS Word and Excel.

  • Proficient in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems, such as recordkeeping and filing.

  • Familiarity with basic data entry and software testing processes, and the flexibility to adapt to new tasks and responsibilities as needed

Responsibilities

  • Data Management: Conduct data entry and assist in testing new system developments to maintain accurate and reliable information.
  • Access Control: Update external systems, including Carasolva, CHOICES, and DQI, by adding and removing access as needed to ensure compliance and security.
  • Documentation: Assist with dead filing and the retrieval of information, ensuring all departmental records are up-to-date and accessible.
  • Meeting Coordination: Attend and take notes at meetings, prepare agendas, schedule and coordinate meetings, and distribute minutes or other meeting records.
  • System Monitoring: Monitor portal tickets in NTST wiki for updates related to NTST to stay informed of changes and improvements.
  • Process Documentation: Assist with creating clear and concise written tutorials and processes for new implementations, ensuring all team members understand and follow best practices.
  • Other Duties: Perform other related tasks as assigned to support the department and overall organizational goals.
