About The Position

We are seeking a highly organized and dependable Administrative Assistant / Office Manager to support daily office operations to enable our Vice President to efficiently manage and administer the company. Job functions fall into three main buckets: Administrative execution Communication support Office management Event and Visit Coordination

Requirements

  • Proven experience as an Administrative Assistant, Office Manager, or similar role
  • Strong organizational and time-management skills
  • High attention to detail and ability to manage administrative processes accurately
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and calendar tools
  • Professional communication skills when interacting with leadership, employees, and vendors
  • Good written communication skills and typing
  • Ability to handle confidential information with discretion

Responsibilities

  • Manage day-to-day office operations and provide routine administrative support
  • Assist with calendar management, meeting scheduling, and coordination
  • Prepare meeting materials, agendas, and basic reports as needed
  • Support leadership with follow-up tasks, document organization, and correspondence
  • Taking notes and developing task lists from meetings
  • Review and process employee expense reports for completeness and policy alignment
  • Communicate with employees regarding missing information or required corrections
  • Maintain organized expense documentation and administrative records
  • Serve as the primary point of contact for the executive
  • Manage incoming communications (i.e. email, phone, etc.) and relay pertinent information
  • Monitor and manage leadership email inboxes as assigned, prioritizing messages, flagging time-sensitive items, and drafting or responding to routine correspondence on behalf of leadership
  • Synthesize information from meetings, communication, and general information to ensure a continuous, full vision of goings-on
  • Learn and communicate in consistent content and voice as the executive
  • Serve as the primary point of contact for administrative and office-related needs
  • Coordinate office supplies, equipment, and vendor relationships
  • Manage company-branded clothing design, purchase, and distribution for employees
  • Coordinate logistics for internal and external meetings, trainings, and events
  • Assist individuals (for both inside and outside people) in booking travel mostly to Craft-Bilt, but also to other places
  • Helping organize and execute schedules for visits and events
