About The Position

SWCA Environmental Consultants seeks a Logistics Assistant to our Sheridan, Wyoming operations and field staff. The ideal candidate is a proactive, organized problem solver with strong communication skills, dedicated to supporting a diverse team of technical specialists for smooth and efficient operations. This position is responsible for providing supporting to our Operations Administrator in office administrative support, office reception, travel logistics coordination, document production, project and business development coordination, and potentially serve as an office safety representative. This is a temporary, hourly, non-exempt position, starting in April 2026 and running until the end of August 2026. We are anticipating that hours will start at 20-22 hours a week in April and May and then go to 40 hours a week for the summer months. This role will be based out of the Sheridan, Wyoming office and will report into our Operations Administrator for the Sheridan office. Requirements

  • Minimum of a High School diploma or demonstrated equivalent.
  • Demonstrated ability to support operations, perform administrative work, work collaboratively and be organized
  • Ability to travel to and work from the Sheridan office up to three days a week.
  • Demonstrated proficiency in Microsoft Word, Excel, and PowerPoint (preferably Version 2010).

Nice To Haves

  • Associate degree or higher in business, administration, office technology or a related field.
  • Up to three (3) months to one year of related administrative or logistical experience.
  • Experience with additional software applications such as Adobe Acrobat Professional.
  • Previous administrative assistant or related job experience in a related, project-based industry (e.g., environmental services, architecture & engineering, construction).
  • Experience supporting and coordinating marketing-related activities.
  • Excellent communication, multi-tasking, and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment
  • Willingness to jump into various types of tasks and learn new things to support our team as needs arise
  • Experience with scheduling and meeting coordination.
  • Ability to write and communicate clearly.
  • Strong customer service approach and problem-solving ability.

Responsibilities

  • Support project logistics for project/task managers regarding project needs; assisting with preparation of and updates to project schedules; coordinating and scheduling staff for fieldwork; arranging travel, vehicles, equipment, and supplies for staff; collecting safety forms and expense receipts, and assisting staff with expense reporting.
  • Support health and safety compliance tasks, scheduling training courses, and monthly reporting.
  • Help track office inventory, maintenance, organization, and billing of field data and safety equipment, including technology asset management (e.g., field tablets and GPS equipment).
  • Help manage and organize safety gear, securing travel, outgoing and incoming forms, and data, tracking expenditures and reconciling billing.
  • Help manage a fleet of company-owned and rental vehicles and coordinating vehicle maintenance and repairs as needed.
