Requirements

  • 5+ years of administrative experience, with at least 2 years supporting senior leadership or executives.
  • Exceptional written and verbal communication skills.
  • Strong proficiency with Microsoft 365 (Outlook, Excel, PowerPoint, Teams, SharePoint, Word, Oracle).
  • Demonstrated ability to manage multiple priorities under tight deadlines.
  • High level of discretion, professionalism, and interpersonal effectiveness.
  • Strong attention to detail and problem‑solving skills.
  • Demonstrated excellent customer service focus, multi-tasking and strong organizational skills
  • Able to work independently on a variety of tasks.
  • Willing to learn and upgrade skills as needed
  • Flexible to work extended hours when necessary
  • Proactive and can adapt to change

Responsibilities

  • Manage complex calendars, schedule high‑volume meetings, coordinate logistics, and proactively resolve conflicts.
  • Prepare executives for meetings by developing agendas, gathering briefing materials, and coordinating follow‑ups.
  • Support executives with time management by prioritizing requests and maintaining awareness of upcoming deadlines, commitments, and leadership needs.
  • Serve as a primary liaison between the Vice Presidents and internal/external stakeholders.
  • Handle sensitive and confidential information with tact, diplomacy, and discretion.
  • Coordinate cross‑departmental communication and ensure timely dissemination of information.
  • Support invoice processing, purchase requisitions, and expense report management in Oracle.
  • Organize onsite and off‑site meetings, workshops, team retreats, and leadership events.
  • Manage logistics, including booking venues, arranging catering, and preparing meeting materials.
  • Coordinate travel arrangements, itineraries, and travel‑related documentation for VPs and leadership teams.
  • Provide support to other administrative staff and act as a resource for best practices and guidance.
