About The Position

Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • One year full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date.
  • Must meet and maintain TLETS access eligibility for continued employment in position.
  • Knowledge of office practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, and grammar.
  • Skill to research, compile, organize, and present information and statistics.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill to review technical data and prepare technical reports.

  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.

  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.

  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.

Responsibilities

  • Participates in the planning and execution of an agency program; coordinates work with organizational units of the agency; and assists in the development of administrative and technical assistance policies and procedures.
  • Tracks correspondence between offenders and their families; prepares and disseminates information concerning rehabilitation programs and procedures; and assists with and monitors special projects.
  • Assists with data service requests and follow-through; maintains; assists in the preparation for administrative meetings; and attends meetings, takes notes, and prepares and distributes related information.
  • Coordinates and schedules appointments, interviews, and conferences; makes travel arrangements and reservations and prepares related documents; and maintains filing, record keeping, and records management systems to include an automated information system.
  • Responds to inquiries regarding rules, regulations, policies, and procedures; provides liaison with agency staff, other agencies, organizations, and the public; and provides training and technical assistance.
  • Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
