About The Position

Provide secretarial and administrative support for all faculty and staff in the department. Responsible for the functioning of the office or department and to maintain a neat and welcoming environment. Initiates and handles correspondence relating to a department or program. Performs a variety of daily tasks and should be able to multi-task in a common area environment including greeting and directing students and guests in a welcoming manner. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers, including students, in securing needed information and documents. Shall always maintain professional and cooperative attitude and relationships. Perform duties as assigned.

Requirements

  • Requires general education or vocational training and 5+ years of relevant experience.
  • Must be customer service oriented and have a desire to work well with others, fostering a positive work environment.
  • Skill using computer programs (for example, Microsoft office 365, Banner, Paycom, Concur —travel software).
  • Experience in an educational environment.

Nice To Haves

  • Two years of college or bachelor's degree.
  • Experience in higher education.
  • Three to four years' experience in customer service, office management, bookkeeping or financial tracking.
  • Experience with these computer programs: Microsoft Office 365, Banner, Paycom, Concur (travel software), Touchnet and Qualtrics.

Responsibilities

  • Assist HES with tasks that include coordination of appropriate documents and forms- keeping all records up to date and organized and keeping the common spaces neat and organized.
  • Responsible for assisting with budget management, tracking expenses, and p-card purchases.
  • Facilitation of department travel for faculty/staff to include filling and submitting forms, registrations, and group travel coordination.
  • Submitting requisitions and work orders, and other forms, tracking inventory and act as building captain.
  • Maintain and update schedule for Virginia Lamb room and HES classrooms.
  • Schedules staff meetings as requested and records notes.
  • Orders and maintains inventory of supplies and equipment.
  • Assist with coordination of events and programming such as capstone, symposium, faculty meetings and other events.
  • Assist with schedule build, faculty assignment sheets, budget, and related tasks.
  • Complete annual UCO training and others as needed to perform job duties and as requested.
  • Supervise student workers.
  • Other duties as assigned.
