About The Position

The University of Nevada, Las Vegas is seeking an Administrative Assistant III to provide high-level administrative, financial, and operational support for Student Life Technology (SLT) and Student Life Maintenance (SLM). Operating with a high degree of autonomy, the incumbent serves as a critical liaison between senior leadership, departmental staff, and external stakeholders. Student Life Maintenance and Student Life Technology are devoted to the service, maintenance, and technology care of Student Life Facilities and all the users of these areas. It is our responsibility to maintain safe and operational facilities while planning and implementing long-term quality improvements to all student life facilities.

Requirements

  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

  • Policy Expertise: Working knowledge of FERPA regulations and UNLV-specific policies and procedures.
  • Technical Proficiency: Experience with Workday, TeamDynamix, or similar ticketing and human resources management systems.
  • Personnel Experience: Demonstrated experience processing I-9 forms and managing student or graduate assistant employment contracts.
  • Conflict Resolution: Proven ability to resolve high-level, escalated inquiries and skillfully defuse conflict with diverse stakeholders

Responsibilities

  • Executive Support: Managing complex scheduling and administrative needs for the Associate Director of SLT and providing operational support for SLM.
  • Financial Management: Overseeing departmental accounts and travel budgets, exercising delegated expenditure authority, and managing high-volume procurement and invoice reconciliation.
  • Workforce Coordination: Supervising front-desk student employees, managing the personnel lifecycle for student workers and Graduate Assistants (including I-9 compliance), and coordinating recruitment for professional and classified staff.
  • Operations & Policy: Designing operational workflows, authoring Standard Operating Procedures (SOPs), and resolving complex administrative issues within the TeamDynamix ticketing system.
  • Communication: Independently composing executive-level correspondence and reports, and managing sensitive/confidential departmental information.
