About The Position

This position is responsible for providing administrative assistance for the operations for Continuing Education, including the Community Learning Center (CLC) and Center for Workforce Development (CWD).

Requirements

  • Knowledge of modern office practices and procedures.
  • Knowledge of college and center policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in interpersonal relations and in dealing with the public.
  • Skill in working effectively with a wide range of constituencies.
  • Skill in oral and written communication.
  • Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/ internship or having had a similar position for one to two years.

Responsibilities

  • Serves the CLC/CWD front desk.
  • Greets visitors, provides customer services; answers telephone provides information and assistance, including support to student workers, refers to appropriate personnel; and takes messages.
  • Registers students for Continuing Education classes, researches and/or resolves registration problems.
  • Creates and/or edits classes, and coordinates logistics for Continuing Education programming.
  • Provides administrative support to the Director and other professional staff including departmental purchases.
  • Maintains, updates, and reconciles spreadsheets and databases.
  • Makes preparations for departmental events and meetings.
  • Coordinates mailings.
  • Processes instructor paperwork including payroll, background checks, and/or packets.
  • Processes financial transactions including processing payments, cancellation/refunds, requisitions, transfers of funds, food requests, T&P’s, BARs and P-Card reconciliation; travel requests; billings/invoices; gift certificates and scholarships.
