About The Position

This 9 month, part-time position is responsible primarily for providing administration support for the operations of Automotive Technology.

Requirements

  • Knowledge of modern office practices and procedures.
  • Knowledge of college and department policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Skill in prioritizing and organizing work.
  • Skill in the use of such office equipment as a computer, scanner, and copier.
  • Skill in oral and written communication.
  • Must have excellent customer service skills.
  • Knowledge and level of competency commonly associated with completion of specialized training in the field work, in addition to basic skills typically associated with a high school education.
  • Familiar with Outlook, Microsoft Word, Excel, Canvas, Social Media applications.
  • Sufficient experience to understand the basic principles relevant to the major duties of the position or having had a similar position for one to two years.

Responsibilities

  • Answers telephone and greets visitors; provides Automotive Technology program information and assistance; refers to appropriate personnel; takes messages, and makes appointments.
  • Makes copies when needed.
  • Answers questions from students regarding program information.
  • Sends out program information and brochures.
  • Maintains assigned office hours.
  • Processes travel for Trades and Technology employees.
  • Processes “P” card reconciliations received on the 28th of each month.
  • Assists in sorting and distributing incoming mail.
  • Sets up Automotive Skills USA in November of each year which includes creating certificates and the invitation letter.
  • Provide support to seek sponsors for lunch & prizes.
  • Sets up Graduation Dinner in May of each year which includes ordering tables, chairs, food, plaques and creates the graduation programs and name plates, etc.
  • Assist in the scoring process
  • Assists in the ASE & TTEN Accreditation process
  • Arrange advisory committee meetings, take minutes and distribute to members.
  • Maintain social media blog for Automotive.
  • Assists with recruiting efforts for the Automotive Programs.
  • Updates recruiter materials when needed.
  • Assists in follow-up of possible automotive students.
  • Assists with annual equipment inventory.
  • Updates worksheets, curriculum, faculty test, etc.
  • Cross-train with the School Operations Coordinator to assist during absences.
  • Assists the Trades and Technology School Operations Coordinator when needed.
  • Performs other duties as assigned.
