About The Position

The Department of Oncology/McArdle Laboratory for Cancer Research seeks an Administrative Assistant II to provide essential administrative support required for the department to achieve its science research and teaching missions in the laboratory . As the primary point of contact for the department, the Administrative Assistant II is expected to deliver outstanding customer service managing the front desk operations . This position serves faculty, staff, students, and visitors, acting as a welcoming and knowledgeable ambassador for the department. The Administrative Assistant II manages department scheduling and logistics, maintains departmental records and communications, and provides general support of fiscal operations. Core business hours are Monday through Friday 8:00 a.m.- 5:00 p.m. This position is full or part-time, 60%-100% This position requires work to be completed onsite, at a designated campus work location. The work schedule is flexible and will be determined at the time of hire. Requirements

  • At least one year experience with front desk operations, customer service industry, or related experience.
  • Minimum one year experience using Microsoft 365, particularly in Outlook, Word, and Excel.

Nice To Haves

  • Administrative experience/knowledge of the biological sciences field and/or higher education.
  • Two or more years of administrative experience.

Responsibilities

  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
  • Serves as a first point of contact for individuals and groups, provides basic organizational information via phone, in person and through other communication mediums, and routes more complex inquiries to the appropriate entities
  • Maintains established methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Collects, analyzes, and prepares various communication materials from established sources utilizing technology mediums
  • Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures under general supervision
  • Serves as department fiscal coordinator through effort certification, reconciling funding reports, managing funding assignment, and initiating payroll accounting adjustments
  • Serves as back up department fiscal coordinator through reconciling funding reports, managing funding assignment, and initiating payroll accounting adjustments.
