The Administrative Assistant will interact daily with patients, cardiac surgeons, nurses, and other clinical staff while managing heavy phone volume, MyChart messages, and EPIC tasks. This role serves as a key communication hub-coordinating appointments, relaying important information, assisting with refills, and supporting the overall workflow of the cardiac surgery team to ensure timely, accurate, and professional patient care. The ideal candidate is hardworking, dedicated, and trustworthy. They should have strong integrity, be committed to quality work, and stay composed under pressure. Adaptability, attention to detail, professionalism, and a strong sense of responsibility are essential for success in this role. A caregiver in this position works an 8-hour shift between 7:30am and 5:00pm.

Requirements

  • High School Diploma or GED
  • Three years of Cleveland Clinic medical office experience
  • Experience using Microsoft Office Suite products (Outlook, Word, Excel, and Power Point)
  • Ability to perform work in a stationary position for extended periods
  • Ability to operate a computer and other office equipment
  • Ability to travel throughout the hospital system
  • Ability to communicate and exchange accurate information
  • In some locations, ability to move up to 20 pounds
  • Follows standard precautions using personal protective equipment as required.

Nice To Haves

  • Typing proficiency of 35 wpm with accuracy

Responsibilities

  • Manage and prioritize multiple assignments simultaneously and effectively.
  • Act as a liaison between internal and external customers by greeting customers, answering, and triage phone calls.
  • Administer calendar and schedule management.
  • Compose and prepare a variety of correspondence (e.g., reports, forms, presentation materials, messages, etc.) as required.
  • Provide coverage of other areas such as front end, point of service and registration.
  • Coordinate management functions and assist in special projects.
