About The Position

The Administrative Assistant plays a vital role in supporting surgery scheduling for the Plastic Surgery Department. This position works closely with Operating Rooms, Outpatient Surgery Centers, the Ortho Trauma Department, and various surgeons. We are seeking a detail‑oriented, proactive team member who is committed to delivering an exceptional patient experience in a fast‑paced, collaborative environment.

Requirements

  • High School Diploma or GED required.
  • 0–3+ years of relevant experience; prior administrative experience preferred.
  • Experience working in a matrixed or complex environment is a plus.
  • Basic proficiency in Microsoft Office (Word, Excel, PowerPoint) required.

  • Medical Office Experience: Familiarity with clinical workflows and medical office procedures.
  • Surgery or Procedure Scheduling Experience: Experience reviewing orders, coordinating surgeries, and verifying required details.

  • Attention to Detail: Ensures accuracy in documentation, order entry, and communication.
  • Insurance Knowledge: Understanding of insurance plans and requirements.
  • Technical Proficiency: Experience with EMRs, email, Microsoft Teams, and phone systems.
  • Medical Terminology: Working knowledge to support accurate communication and documentation.
  • Ability to Navigate Corporate Systems: Comfortable working within a large, complex organizational structure.

Responsibilities

  • Process and review surgery orders to ensure accuracy and completeness.
  • Communicate proactively with patients regarding scheduling, updates, and required information.
  • Coordinate with surgeons, OR teams, outpatient surgery centers, and departmental staff.
  • Support administrative tasks such as scheduling, calendar management, and responding to inquiries.
  • Maintain professionalism in all communication and uphold departmental service standards.
  • Assist with basic administrative and technical support for leaders and teams, including meeting coordination, travel arrangements, and invoice processing.
  • Address routine administrative or technical issues as needed.
