Work Shift Job Summary: Answering phone calls and manning the front desk in the therapy department. Communication between departments and internal/external customers. Preparing reports and correspondence including daily patient schedule. Ordering equipment and supplies for the therapy department. Preparing reports for IRH and LTACH therapy departments. Coordinating in- services and intern housing assignments. Managing university contracts for all internships at RWSH. Supporting therapy director and supervisor by taking minutes. Clerical duties for the therapy department.

Requirements

  • Required Minimum Education: GED General or High School Diploma Required
  • Associates General-Preferred Required
  • Minimum 2 years administrative support or related field. Required
  • Minimum 2 years administrative support in healthcare field. Preferred

Responsibilities

  • Answers, screens and transfers incoming calls to the appropriate party.
  • Responds to various inquiries, if knowledgeable.
  • Maintains manager's and/or office calendar.
  • Organizes, schedules and assists in the preparation of meetings.
  • May be involved in some meetings to transcribe meeting minutes.
  • Monitors, replies and forwards emails appropriately.
  • Assists in the preparation of correspondence, reports and presentations.
  • Maintains office supply inventory.
  • Coordinates maintenance of office equipment when needed.
  • Creates organized method for filing electronic or paper files and records.
  • Receives, sorts and distributes incoming mail, packages and deliveries.
  • Prepares outgoing mail.
  • May be responsible for department's time and attendance.
  • May have some budgetary responsibility to include tracking and monitoring expenditures.
  • Liaison between dept and internal/external customers: Answering Phone calls and manning the front desk in the therapy department.
  • Communication between departments and internal/external customers
  • Preparation of reports for IRH and LTACH therapy department and correspondence including daily patient schedules including Telehealth as well as Psychology appointments.
  • Ordering Supplies and therapy equipment.
  • Maintains filing and record-keeping system.
  • Intern in-service coordination and Intern housing assignment.
  • Management of university contracts for all internships at Roosevelt Warm Springs Hospital.
  • Lead Therapy Tech responsibilities: Hold tech communication meetings.
  • Weekend/Holiday work schedule for techs.
  • Post PTO on the Outlook calendar to keep all the techs informed of coverage.
  • Work with the Supervisors and staff to ensure discipline coverage during PT.
  • Assign and oversee tech responsibilities for JC compliance and readiness.
  • Oversee gym cleanliness.
  • Intern in-service for emergency procedures for therapy department.
  • Order cleaning supply for therapy department.
  • Performs other duties as assigned
  • Complies with all Wellstar Health System policies, standards of work, and code of conduct.
