About The Position

Administrative Assistant II: Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence. Administrative Assistant III: Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. [May serve as a lead worker.] Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Requirements

  • High School Grad or Equivalent in general education.
  • Administrative Assistant II: 1 year of experience in administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis.   • Administrative Assistant III: 3 years of experience in administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis.   • Valid driver’s license. This position requires driving a state vehicle.
  • Applicable computer systems and applications
  • Inventory/stock control procedures
  • Public relations for maintaining effective working relationships with individuals and groups, both internal and external
  • Maintaining effective working relationships with others
  • Coordinating and scheduling activities/resources
  • Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
  • Sitting - prolonged periods of time
  • Standing-prolonged periods of time
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading
  • Required to work weekends and holidays.
  • Required to work hours other than 8 to 5.
  • Required to wear personal protective equipment provided by employer and comply with all safety requirements.
  • Employee may be contacted during off-duty hours to see if he or she can report to work within one (1) hour for emergency conditions.

Responsibilities

  • Assists in information resource planning and preparation of justification statements.
  • Attends meetings and prepares official reports/minutes.
  • Attends meetings with supervisor; takes notes, summarizes, and follows up on any actions that need to take place.
  • Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and sensitive communications.
  • Coordinates with other state agencies, private entities, and within the Department to meet program guidelines and deadlines.
  • Performs other job responsibilities as assigned.
  • Coordinates and/or composes correspondence and reports regarding technical program initiatives.
  • Represents the supervisor at meetings and is in contact with other governmental agencies and professional groups.
  • Reviews information going to the supervisor and highlights important matters; researches and provides additional information as needed; briefs supervisor on background information needed for meetings.
  • Trains other clerical or technical staff.
  • May serve as a lead worker by serving as a resource for complex questions; presenting workflow and operational updates to the supervisor/manager; providing input on team members’ career conversations; and approving leave requests to ensure operations coverage.
  • Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
