The Administrative Assistant assists the department chair with administrative tasks, oversees the daily operations of the department office, provides support to department faculty, adjuncts and students, and maintains department records. Maintains daily operations of the office which may include supervising support staff and students and conducting necessary office training. Communicates and assists students, faculty and administrators on University policy matters. Gathers information and prepares various reports, correspondence, and memorandums; researches and resolves issues. Supports organizing and publicizing annual events within the department. Supports department recruiting and retention efforts. Develops relationships with vendors and expedites development of contracts. Prepares special or confidential reports and assists with projects or surveys. Assumes responsibility for office processes and oversees projects through to completion. Maintains files and appointment and event calendars. Greets and screens visitors and phone calls; relays messages, responds or takes necessary action or refers to appropriate person for resolution. Maintains personnel records, supports adjunct faculty, tracks and reconciles the department budget, completes payroll action forms, submits maintenance requests, maintains a department equipment inventory, and submits purchase orders. Other duties as assigned.
