About The Position

The Administrative Assistant – Fuel Operations provides administrative and operational support for airport fueling and GSE fuel activities. This role supports fuel ticket processing, fuel reconciliation, payroll/timekeeping, administrative support for the GSE Manager and fuel operations leadership, and airport badging compliance. Enter, review, and verify Aircraft and GSE fuel tickets for accuracy Perform daily and monthly fuel reconciliations (aircraft and GSE) Research, track, and document fuel variances Support fuel and GSE fuel reporting and administrative tracking Provide direct administrative support to the GSE Manager Maintain GSE-related administrative records, logs, and documentation Update and correct employee time records in Kronos Track attendance issues, missed punches, and shift trades Assist with purchase requisitions, cost tracking, and administrative coding Ensure employee airport badging is maintained, tracked, and not expired Coordinate badging renewals, replacements, and required documentation Maintain organized administrative, payroll, fuel, and compliance records Assist with new-hire paperwork and onboarding documentation Support managers, fuel operations staff, GSE personnel, customers, and suppliers Perform general office and administrative duties as assigned

Requirements

  • High school diploma or GED required
  • Proficient in Microsoft Excel, Word, and Outlook
  • Strong attention to detail and accuracy
  • Ability to handle confidential and sensitive information
  • Strong written and verbal communication skills
  • Must be at least 18 years of age
  • High level of professionalism required due to regular correspondence with external customers, employees, airport authorities, vendors, and internal peers
  • Ability to pass a drug screen and background check
  • Ability to lift up to 35 lbs

Nice To Haves

  • 1–2 years of experience in administrative, payroll, accounting, fuel operations, GSE support, or airport badging preferred

Responsibilities
