About The Position

POSITION SUMMARY: The Administrative Assistant provides basic secretarial and clerical support for the Emergency Department Director and Assistant Director. Functions associated with this position include calendar maintenance, conference room scheduling, set-up and take down, meeting minutes recording and publishing for select department meetings, creation and production of printed materials, inventory control and ordering of non-parred items, filing of confidential documents for managers, processing and distribution of mail to managers and employees within the department, photocopying, and assistance with PI computation and department-based audits. The Administrative Assistant maintains a high degree of confidentiality and coordinates multiple requests effectively and efficiently to support department needs.

Requirements

  • High School graduate or equivalent required.
  • 3 years of secretarial experience in a healthcare setting preferred.
  • Basic knowledge of medical terminology.
  • Knowledge of basic records maintenance and retrieval systems
  • Clerical skills, including accurate filing and computer experience preferred including Windows, Microsoft Word, Excel and PowerPoint.
  • Excellent organizational skills and flexible work style.
  • Excellent oral communication skills in dealing with co-workers.
  • Ability to make reasonable, independent decisions in the absence of immediate direction supervision within hospital and department guidelines.
  • Ability to concentrate and work through distraction required.
  • Typing of 50+CWPM strongly preferred.
  • Attention to detail and accuracy is required.
  • Ability to operate photocopiers, facsimile, telephone, department computer systems and other office equipment required.
