About The Position

We are looking for an Administrative Assistant to perform a variety of administrative and clerical tasks. Duties include providing support to our Geomatics team, assisting in standard office needs and managing administrative activities. Geomatics [https://www.sebagotechnics.com/services/surveying-geomatics/] is the discipline of gathering, storing, processing, and delivering spatially referenced information. It encompasses the fields of surveying, mapping, remote sensing (LiDAR or HDS Scanning), photogrammetry, hydrography, global positioning systems (GPS), and geographic information systems (GIS). With almost 200 geomatics professionals on staff, McKim & Creed is one of the largest geospatial and land surveying firms in the Southeast.

Requirements

  • High School diploma or GED required.
  • Must be professional, trustworthy, self-starter, assertive, detail oriented, flexible to meet deadlines, willing to do a variety of tasks and work independently.
  • Must have experience dealing with the public, good organizational skills, and strong computer skills.
  • Excellent organizational, communication, interpersonal and administrative skills.
  • Excellent computer skills as applicable to the position are necessary including Microsoft Outlook, Word, and Excel.
  • Must be able to keep confidential information private.
  • Must pass pre-employment drug screen test.

Nice To Haves

  • Associates or Bachelor’s degree preferred but not required.
  • Previous administrative experience working in a civil engineering, architectural, construction or surveying firm is preferred but not required.
  • Active involvement in community or professional activities and continuing education is desirable.
  • Knowledge of BST accounting software.
  • Knowledge of Vantagepoint.

Responsibilities

  • Put together FDOT (Florida Department of Transportation) audit packages .
  • Frequently interact with all levels of management and employees and occasionally with clients and outside vendors.
  • Produce letters, memos and correspondence; prepare forms, tables, spreadsheets and other business typing.
  • Finalize reports, proposals, meeting minutes, agreements and similar documents drafted by the project staff and maintain project files.
  • Assist project managers and field staff with other various administrative functions such as running errands, coordinating meetings and coordinating travel.
  • Perform basic accounting functions such as time sheet verification, credit card reconciliations, expense reporting and invoice coding.
  • Assemble and deliver Summary of Qualification packages.
  • Conduct project setups/tracking/closeout.
  • Work with project teams.
  • Offer suggestions to supervisor on improvements to the flow of work or making operations flow more smoothly.
