About The Position

S.A. Comunale is seeking an Administrative Assistant - Contract to support the Reading, PA Branch. Provide administrative support to the assigned branch office. Duties include general clerical, purchasing, inventory, and accounting responsibilities and project-based work. Project a professional company image through in-person and phone interaction. S.A. Requirements

  • High school diploma or GED is required.
  • 3+ years of administrative experience is required.
  • Significant experience with Microsoft applications (i.e. Word, PowerPoint, Excel) is required.

Nice To Haves

  • Previous experience in the construction industry is a plus.

Responsibilities

  • Perform general clerical duties to include but not limited to photocopying, faxing, mailing, filing and scheduling appointments.
  • Assum receptionist duties, greet public and refer them to appropriate staff members, answer phones, route calls, and take messages when required.
  • Sign for and distribute UPS/FedEx/Airborne packages.
  • Distribute incoming mail and prepare outgoing mail including bulk mail.
  • Print and maintain all bid documents as well as prepare for all bids.
  • Obtain all information necessary for contracts and review sheets.
  • Perform basic accounting functions such as billing, accounts receivable, accounts payable.
  • Create folders, print drawings, specs, bid bonds, and addendums.
  • Request pre-qualifications, bid bonds, etc. for bids.
  • Contract review sheets – Insurance / Lein wavers, workers compensation.
  • Review specs and know requirements for bids.
  • Labor work sheets m and other bid estimate sheets.
  • DBE Contractor / Supplier Utilization form.
  • Create binders for library and filing cabinet when job is awarded.
  • Box up files / folders prior 2 years.
  • File executed contracts.
