GENERAL DESCRIPTION Provides administrative and operational support to physician leaders by coordinating provider schedules, timekeeping processes, and call payment workflows. This role helps ensure accurate provider time and PTO entries, timely communication with section chiefs and stakeholders. The Administrative Assistant also supports Medical Staff Services and the Credentials Committee by assisting with meeting preparation, credentialing-related administrative tasks, and CME reimbursement processing as assigned.

Requirements

  • Bachelor’s degree or equivalent required.
  • One year of administrative support experience.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and ability to learn departmental systems; strong organization, communication, and confidentiality skills.

Nice To Haves

  • Two (2) years of administrative support experience, preferably in a healthcare or physician practice environment.
  • Demonstrated experience with scheduling, calendar management, and accurate data entry; experience supporting timekeeping processes preferred.

Responsibilities

  • Coordinates provider scheduling, including creation and maintenance of on-call, clinic, and coverage schedules in collaboration with physician section chiefs and clinic leadership.
  • Manages timekeeping processes for providers, including collection/verification of time and PTO entries and timely submission per department timelines.
  • Coordinates call pay processes, including tracking call assignments, validating supporting documentation, and preparing information for approval and processing.
  • Serves as a central point of contact for scheduling and administrative questions; communicates schedule updates and changes to providers and stakeholders in a timely manner.
  • Maintains accurate provider rosters, contact lists, templates, and recurring administrative trackers to support efficient operations and reporting.
  • Prepares routine correspondence, memos, and updates; drafts and formats documents and reports as requested.
  • Schedules and coordinates meetings, including calendar management, agenda support, minutes/notes as assigned, and follow-up on action items.
  • Supports Medical Staff Services and the Credentials Committee, including assisting with meeting packet preparation, committee communications, and tracking due dates.
  • Provides administrative support for credentialing-related activities as assigned, including organizing documentation, maintaining files, and assisting with routine communications.
  • Assists with CME reimbursement processing support as assigned, including tracking submissions, verifying required materials, and coordinating approvals.
  • Maintains departmental files and records (electronic and paper) in accordance with organizational standards, confidentiality requirements, and retention practices.
  • Partners with departments that support providers to identify opportunities for process improvement and more streamlined workflows (e.g., standardized templates and automated requests via BMCnet as applicable).
  • Provides excellent customer service and professional communication with providers, leaders, staff, and external contacts; handles inquiries and escalates issues appropriately.
  • Uses standard office software and departmental systems to maintain schedules, records, and reports; supports data entry and basic reporting needs as assigned.
  • Assists the CMO Executive Assistant, as needed.
  • Performs other duties as assigned.
