The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 1. DDD provides individuals with developmental disabilities, and their families, services and supports that are flexible, high quality, and member driven. These services provide individuals with opportunities to exercise their rights and responsibilities of independent decision-making and engagement in the community. Applicants for this position cannot be licensed or certified by the DDD Office of Licensing Certification and Regulation, cannot have a principal interest in or have a spouse or close family with principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor.

Requirements

  • Administrative and clerical procedures and systems, such as word processing, managing files and records, and other office procedures.
  • Computer applications (e.g., Microsoft Office Suite) and a variety of office equipment.
  • Proper grammar, sentence structure, and punctuation.
  • Telephone and office etiquette.
  • Assignment follow-up and deadline monitoring.
  • Typing 50+ wpm.
  • Oral and written communication.
  • Effective time management and organizational skills for managing and prioritizing tasks.
  • Data Entry.
  • Accomplishing detailed work with speed and accuracy.
  • Prioritizing a heavy workload.
  • Learn and apply programs, policies, and procedures of the Division of Developmental Disabilities (DDD).
  • Coordinate and attend meetings.
  • Exercise good judgment in safeguarding sensitive and confidential Information.
  • Collect and organize data.
  • Monitor multiple calendars.

Nice To Haves

  • The preferred candidate will have two (2) years of responsible administrative experience or an equivalent combination of education, training, and experience.

Responsibilities

  • Complete data entry. Create certificates for completed in-services.
  • Provide administrative support (e.g., monitor excess annual leave, support during survey, support during timesheet entry/approvals) to DAD and DAD’s Executive Assistant, as directed.
  • Collaborate with other Administrative Staff. Assist with electronic scanning and filing. Ensure office supplies are available.
  • Maintains accurate and current manuals and forms and updates as necessary.
  • Provide reception desk support to DDD State Operated Group Home (SOGH) Support Unit 2R14.
