About The Position

The successful candidate will be responsible for administrative support for the Department of Neuroscience and Anatomy as well as the interdepartmental Neuroscience Graduate Program in the VCU School of Medicine. The individual will be expected to interact well with all department members (faculty, postdocs, staff, students, and visitors) and to coordinate services, schedule activities, and manage workload in a timely, independent manner with the ability to maintain confidentiality. This is a fully on-campus position. Typical hours: M-F 8/9am to 4/5p

Requirements

  • Bachelor’s degree or equivalent education and experience
  • Minimum 5 years of experience supporting graduate-level educational programs
  • Excellent communication and organizational skills
  • A strong foundation in document writing, editing, and grammar
  • Professional demeanor and ability to interact with students, faculty, and staff in a customer service-oriented manner
  • Office skills must include advanced knowledge of MS Word, Excel, PowerPoint and Adobe
  • Must be willing and able to learn various VCU systems
  • Must be able to perform multiple tasks, meet deadlines, and maintain a strong work ethic
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU

Nice To Haves

  • Experience using VCU systems such as Banner, RealSource, RealTime, Chrome River, GradTrak, ImageNow, and T4
  • Skilled in web design
  • Skilled in social media account maintenance to increase community engagement
  • Skilled in event organizing to assist the department and graduate program with engagement activities & meeting planning

Responsibilities

  • Annual projects including faculty contracts, promotion and tenure, and assistance with space surveys and fixed asset inventory
  • Travel training, coordination, and reimbursements (including departmental seminar series)
  • Maintenance of various databases including student and faculty achievements and information regarding alumni, retirees, lab volunteers
  • Graduate program support under the direction of the graduate program director
  • Student Funding: Collaborate with department’s Finance Manager, SOM Graduate Education office, and faculty mentors to complete the student funding process for all graduate students trained in the department
  • Faculty and staff timekeeping
  • Department and graduate program website design and maintenance
  • Production of the department’s quarterly newsletter
  • Will serve as backup purchasing coordinator, ensuring timely procurement of necessary materials and resources for the department’s laboratories according to VCU purchasing guidelines
