About The Position

The following Partially Excepted Position is vacant. In line with Rule 2-C of the April 16, 1986 BRAC Agreement, only interested TCIU employees should apply. Strictest confidence will be maintained. Metra is one of the largest and most complex commuter rail systems in North America, serving Cook, DuPage, Will, Lake, Kane, and McHenry Counties. The agency is linking communities in Northeastern Illinois by providing safe, reliable, and efficient service. Transportation is responsible for providing safe, efficient and dependable transportation to commuters on all Metra-operated lines: Milwaukee North and West, Rock Island, Metra Electric, SouthWest Service, North Central Service and Heritage Corridor and those lines operating under purchase- of service agreements: BNSF and Union Pacific. In addition to all employees directly involved in providing train service, the Transportation Department also oversees the Rules Department, Dispatching Office, Crew Management Center, Station Services, Customer Service, Ticket Services and GPS Center. The department is staffed by nearly 900 employees. The Administrative Secretary will provide a variety of secretarial and administrative support services.

Requirements

  • Must possess a High School diploma or GED equivalent.
  • In addition to #1, must have a minimum of three (3) years of administrative experience in an office related environment.
  • Must be able to type 50 wpm.
  • Must have the ability to organize large mailings and databases.
  • Proficient in Microsoft Office Suite with emphasis in Word, Excel, and Outlook.
  • Excellent grammar, verbal/written communication, and organizational skills.
  • Must be reliable and experienced in handling a variety of duties interchangeably.
  • Strong interpersonal skills in dealing with all levels of staff, and/or other external groups and organizations.
  • Metra employees in an active review period under the current discipline policy or who have documented attendance or performance issues will not be considered and/or selected for this position.

Responsibilities

  • Receive and direct visitors and answer and screen phone calls.
  • Prepare correspondence, memorandums, and departmental weekly and monthly summary reports.
  • Proofread and edit department correspondence for grammar, syntax, and completeness.
  • Order and maintain office supplies and departmental forms.
  • Establishes and maintains filing system.
  • Prepares semi-monthly payroll forms and keeps daily timesheets.
  • Manage and control all materials coming in and out of the department.
  • Maintain Outlook calendar activities for assigned key staff and organize meeting schedules.
  • Performs all other related duties as assigned to meet the ongoing needs of the organization.
