About The Position

The Administrative/Finance Assistant is a vital member of our team, supporting the finance and administrative functions with a variety of tasks, including bank deposits, claims entry and management, invoice processing, monthly resident allowance sheet reconciliation, payment posting, and utilizing Excel for financial data management. This role requires an individual with good organizational skills, Excel knowledge. We are willing to train; however, a background in claims management is preferred. Additionally, this position demands excellent phone and communication skills to effectively liaise with clients, insurance companies, and internal departments. This position is ideal for an individual looking to learn or use their existing financial and administrative skills in a role that also values and requires excellent communication and customer service abilities. The successful candidate will contribute to the operational efficiency and financial accuracy of our organization, ensuring high levels of customer satisfaction and effective internal communication. Requirements

  • Proficiency in Microsoft Excel.
  • Professional phone etiquette and communication skills, both verbal and written, with the ability to convey information clearly and persuasively.
  • Solid organizational skills, capable of managing multiple tasks with accuracy and attention to detail.
  • High school diploma required; associate degree or relevant coursework in Accounting, Finance, Business Administration, or a related field preferred.
  • Previous experience in an administrative or support role within finance or accounting, particularly with responsibilities in claims management preferred.
  • Demonstrated ability to use Excel for financial tasks and data management.
  • Proven track record of effective communication and customer service skills, especially over the phone.
  • Strong problem-solving, negotiation, and interpersonal skills.
  • Ability to work both independently and as part of a team.
  • Adaptability to changing priorities and new challenges, with a proactive approach to learning and development.

Nice To Haves

  • Experienced in claims management is preferred, but not required.

Responsibilities

  • Bank Deposits: Accurately prepare and deposit daily cash receipts and checks.
  • Claims Entry and Management: Efficiently enter and manage claims, maintain communication with insurance companies or claimants, resolve issues, and ensure timely processing and settlement of claims.
  • Invoice Processing: Process incoming invoices with accuracy, ensuring timely approvals and payments.
  • Monthly Resident Allowance Sheet Reconciliation: Conduct precise reconciliation of monthly allowance sheets for residents.
  • Payment Posting: Post payments to appropriate accounts, ensuring accurate record-keeping.
  • Excel Proficiency: Utilize Excel for data management, analysis, and reporting.
  • Phone and Communication Skills: Handle phone calls with professionalism, providing excellent customer service, and maintaining effective communication with all stakeholders. This includes explaining complex information in an understandable way, resolving queries, and ensuring clear, positive interactions.
