About The Position

The Assistant Director of Finance and Administration in the Department of Pediatrics serves as a key administrative leader in the Department of Pediatrics. This role is responsible for the strategic leadership and oversight for the Department of Pediatrics’ financial, facilities, and information technology functions. The Assistant Director serves as the senior finance officer, and is accountable for ensuring the financial integrity, compliance, and performance of the department. The Assistant Director will lead the development and monitoring of multi-source budgets, aligning financial strategies with departmental and institutional goals, while also managing complex contracts. This position also oversees space planning and facilities operations to support current and future departmental needs, while ensuring safety and regulatory compliance. As the department’s Information Security Administrator (ISA), the role ensures the reliability and security of IT systems.

Requirements

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.
Requires strong analytical and critical thinking skills to evaluate complex financial and operational data.
Ability to understand specialized software and systems, including university financial systems (myUFL), enterprise reporting tools, and IT security platforms.

Responsibilities

Financial Leadership and Oversight Responsible for understanding and implementing the financial policies and procedures of the College of Medicine and the University of Florida for the department and ensuring adequate training of staff about these financial policies and processes.
Provides financial information, reports and analysis to the department leadership for strategic decision making, including recommended courses of action and implementation plans and disseminates to divisions and functional groups as appropriate.
Serves as senior financial officer for the department. Responsible for the department’s timely and accurate clinical billing, collection and compliance efforts, the accuracy of the department’s financial reports and financial information, compliance with College, FCPA, and University accounting rules, which include federal and state rules and regulations.
Develops an all-funds department budget with the department leadership, and in accordance with the principles and guidelines developed by the College of Medicine, FCPA, and the UF Health System.
Guides continuous improvement efforts in financial modeling, contract management, and faculty compensation planning.
Ensures that all purchase requisitions, payroll documents, funding distribution changes, travel authorizations, vouchers, and payment requests submitted, processed and approved by the department in a timely manner and with accuracy.
Retroactively assesses financial performance against expectations to ensure continuous improvement in financial modeling methodologies.
Collaborate with department leadership through negotiating, implementing and monitoring contracts with third parties. Evaluate contracts with outside entities including Shands and the VA.
Responsible for implementation of department faculty compensation plan.
Responsible for safeguarding department assets and property by protecting and accounting for resources such as cash and fixed assets
Facilities Oversight Promotes the efficient use of space within the department; provides feedback and recommendations to the department leadership regarding the use of space, potential reassignment, relinquishment, or redesign of space to accommodate current and future needs.
Oversees space allocation, maintenance and renovation of the department's physical environment and is ultimately responsible for timely submission.
Oversee the facilities team who is responsible for the safety and cleanliness of the facilities, including ensuring notification of the appropriate University/facilities unit of the need for services (e.g. custodial, repair, environmental and radiation safety, police).
Directs space planning efforts and needs and ensures the facilities team collaborates with College’s Operations Office regarding space planning activities for the department, including renovations and moves.
Accurately accounts for the occupancy and assignment of space within the department.
Directs the management, maintenance, and inventory of departmental equipment to support operational efficiency and resource stewardship.
Information Technology Acts as Department ISA. Responsible for developing the Department’s IT security procedures in response to College and University security initiatives.
Responsible for ensuring maintenance of Information Technology systems used by the department.
Cross-Functional Coordination and Collaboration Maintains regular communication with functional unit leaders to stay informed about department-wide initiatives and administrative developments.
Maintains regular meetings with functional unit leadership (finance, HR, education, clinical operations, etc.) to stay informed. Ensures that administrative leadership is informed and aligned with updates in finance, facilities and IT.
