About The Position

This position is responsible for providing administrative support to maintain the organization of the Brands & Advertising department. In addition, we strive to deliver our Five Star Experience to Guests and fellow Team Members. Requirements

  • Must possess High School Diploma or equivalency.
  • Requires three (3) years of increasingly responsible secretarial experience; OR (2) years of full‑time college coursework from an accredited college or university and one (1) year of increasingly responsible secretarial experience.
  • Must pass periodic random drug screens.
  • Must be able to pass background suitability investigation.
  • Must obtain a Tribal Gaming License.
  • Must obtain all other applicable certifications and licenses.
  • Must provide proof of eligibility to work in the United States within 72 hours of employment.

Responsibilities

  • Provide outstanding customer service to guests and all other employees by exceeding our mission statement.
  • Deliver our Five Star Experience to Guests and all Team Members by embodying our Mission Statement and Service Promise while adhering to department service standards. This entails consistency performing our service expectations of: Welcoming, Proactive, Seamless, Personalized and Valued.
  • Manage calendars, schedule meetings, and coordinate department programs, events, and presentations.
  • Organize departmental files, creative assets, vendor contracts, and brand libraries.
  • Support the execution of brand and advertising projects by tracking timelines, deliverables, and approvals.
  • Assist with creative workflow by coordinating with internal teams, agencies, and production partners.
  • Maintain project documentation, including briefs, timelines, and status reports.
  • Serve as a point of contact between the department and internal stakeholders.
  • Coordinate vendor onboarding and maintain up-to-date contact information for agency partners and suppliers.
  • Help prepare campaign recaps, and departmental reporting.
  • Assist in monitoring budgets, invoices, purchase orders, and vendor payments.
  • Maintain logs for campaign assets, usage rights, and brand compliance documentation.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
  • Coordinate with other administrative staff on all intra-unit operations and procedures; participate in regular supervisory staff meetings and unit staff meetings to discuss and consider operational matters and problems and maintain consistency and coordination of office procedures.
  • Gather and summarize data for briefs, reports, and correspondence from computerized tracking system and manual files to provide accurate information.
  • Responsible for the functioning of all office equipment by serving as liaison with service representatives and recommending replacement equipment.
  • Order and maintain supplies and arrange for equipment maintenance.
  • Order offices supplies, repair services, plaques and awards; track and picks up order.
  • Prepare/distribute bulletins and newsletters regarding a wide variety of subjects.
  • Remain current on modern office and job-specific procedures through job-related training courses to apply appropriate methodologies.
  • Review and proofread a variety of information to ensure accuracy of information, consistency with administrative policy, format, and working and grammatical correctness.
  • Ensure compliance with all Minimum Internal Control Standards (MICS) as well as all Tribal Internal Control Standards (TICS).
  • Present a positive image of the Tribal organization to its guests and vendors and to assist them as required.
  • Must follow all safety policies and procedures and attend all scheduled safety meetings and training as a condition of employment.
  • Able to make difficult decisions in a fair and honest manner.
  • Strong verbal and written communication skills.
  • Perform any other duties that may be assigned from time to time.
