About The Position

The Administrative Assistant provides essential support to ensure the smooth and efficient operation of an immigration law firm. This position involves a variety of administrative, clerical, and organizational responsibilities critical to daily legal operations. The ideal candidate is highly organized, detail-oriented, bilingual (English/Spanish), and capable of handling sensitive information with professionalism and discretion.

Requirements

  • Bachelor’s degree in a related field preferred; equivalent experience considered.
  • Bilingual in English and Spanish is required.
  • Minimum of 2 years of administrative experience, preferably in a legal or immigration law setting.
  • Proficient in Microsoft Office Suite, Google Workspace, and case management software.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • High attention to detail and ability to troubleshoot administrative issues.
  • Comfortable with office technology (printers, scanners, etc.).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Professional demeanor and strong interpersonal skills when interacting with clients and team members.

Responsibilities

  • Maintain a clean, organized, and professional office environment.
  • Manage, receive, and process client documentation in accordance with firm procedures.
  • Accurately input client intake information into case management systems.
  • Process record requests and ensure timely follow-up.
  • Answer and direct phone calls, emails, and client inquiries in a professional manner.
  • Draft, proofread, and edit correspondence, reports, and legal documents.
  • Ensure timely and accurate internal and external communication.
  • Schedule and coordinate appointments, meetings, and conferences.
  • Arrange travel accommodations and itineraries for attorneys as needed.
  • Maintain and update attorney calendars to reflect current appointments and deadlines.
  • Organize and manage electronic and physical filing systems.
  • Create, edit, and manage reports.
  • Collaborate with team members to support client services and legal operations.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Greet and assist clients during in-person visits.
  • Manage client check-ins to ensure a welcoming and professional experience.
  • Provide responsive, courteous support to address client needs or direct them to appropriate staff.
  • Perform other related administrative tasks and duties as assigned.
