About The Position

An administrative assistant will work independently with limited supervision. The primary responsibility of this position is to provide direct administrative support to the Chief Clerk and Deputies by handling a variety of non-routine, critical and confidential tasks.

Requirements

  • High School Diploma or GED; relevant clerical education & training desirable.
  • Minimum of two (2) years clerical experience in an office setting.
  • One Year minimum with working knowledge of CPMS and be able to generate precise CPCMS reports to assist with everyday checks and balances.
  • Experience in court-related operations is a must.
  • Any combination of equivalent education, training and experience that provides the required knowledge, skills &ability to perform the job.
  • Knowledge of State and Local laws and ordinances.
  • Ability to understand changes in the law and implement correlated changes in office policies and procedures
  • Ability to coordinate between multiple agencies; ability to receive, process and disseminate info. between multiple parties.
  • Excellent organizational skills.
  • Strong attention to detail.
  • Ability to work independently and cooperatively.
  • Ability to communicate effectively and tactfully with the court and public in person or on the phone.
  • Ability to lead cooperatively with co-workers.
  • Ability to analyze situations accurately and pursue and effective course of action.
  • Ability to review documents, locate and analyze data, enter appropriate information accurately into the computer.
  • Ability to understand, develop, implement and oversee policies and procedures.
  • Ability to review correspondence and pleadings, analyze dispositions, perform simple math calculations, process requests and documents.
  • Ability to type/keyboard proficiently.
  • Competency in the operation of basic office equipment: computer, fax, copier, etc.
  • Ability to locate files within an organized filing system.
  • Place bench warrant into print status and issue them on a timely basis.
  • Being lead bail contact administrator.
  • Run daily PennDOT reports through CPCMS.
  • Will be subjected to security and background checks.
  • Ability to transport dockets and indices weighing up to 25lbs. to various locations in the courthouse.
  • Retrieve and accurately re-file documents in file folders on shelves ranging from 1 foot to 6 feet in height.
  • Ability to handle stressful situations tactfully and effectively.

Responsibilities

  • Provide administrative assistance to staff members to ensure proper administration of duties.
  • Requires knowledge and cross-training of all clerical positions within their area of responsibility.
  • Must be able to perform all clerical functions to serve as primary trainer of new staff, as well as function as a primary backup for other staff members.
  • Provides oversight to ensure accurate and timely entry of documents into docketing system and smooth flow of paperwork through the judicial system.
  • Ensures appropriate customer service is being provided by clerical staff.
  • Addresses customer issues that escalate beyond other front line clerical staff.
  • Serves as office point person for court-wide programs, projects and committees. This will involve direct contact with judges, judicial staff, Court Administration, attorneys, etc. and will require appearance in court.
  • Assists the Clerk and Deputy Clerks as directed.
  • Report/documentation/file coordination
