About The Position

The Quality Accreditation Document Control Specialist is responsible for various activities pertaining to the development, implementation, and management of KHI controlled documents, forms, and policies according to ISO 9001:2015 Quality Management System (QMS), DNV Healthcare Accreditation, Centers for Medicare and Medicaid Services, and all other regulatory agencies. The Quality Accreditation Document Control Specialist requires excellent attention to detail to coordinate and maintain the document management system efficiently and correctly. The Quality Accreditation Document Control Specialist provides education and direction to KHI staff and leadership on ISO 9001:2015 data management and policy/document control requirements.

Requirements

  • Education: An associates degree in a related field of study or equivalent experience
  • Experience: Two (2) years' experience in Document Control
  • Skills and Knowledge:
  • Knowledge of ISO 9001:2015 Quality Management System requirements.
  • Demonstrated experience managing controlled documents and document change control processes.
  • Strong proficiency with Microsoft Word, Adobe Acrobat, document formatting, and processing.
  • Graphic design skills.
  • Ability to work effectively across sites and across organizational levels.
  • Demonstrated good collaboration skills.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and collaboratively in a fast-paced, team environment.
  • Recognize difference between urgent and non-urgent documents and prioritize accordingly.
  • Visual acuity
  • Ability to sit at a computer for up to five hours a day
  • Minor lifting, up to 25 pounds

Responsibilities

  • Educates and disseminates accurate information organizationally on ISO 9001:2015 Quality Management System (QMS) document control requirements.
  • Serves as system resource in accreditation and regulatory standards regarding policies and forms control.
  • Manages the process of creation, review, approval, and issuance of KHI controlled documents, forms, policies to fulfill document control requirements of the organization and ISO 9001:2015 QMS.
  • Develops and manages user requirements and contributes to the configuration, validation, implementation, and lifecycle management of electronic policy and forms platforms as required by ISO 9001:2015 QMS.
  • Manages the policy management system workflows and oversees the assignment of reviewers/approvers.
  • Manages the document management system workflows to ensure adherence to document control requirements.
  • Manages document assignment type (i.e.; record, tool, educational, etc.) within the organization ensuring proper document identification per document control requirements.
  • Manages the internal identification, approval and retention for use of external documents determined to be necessary by the organization per the requirements of ISO 9001:2015 QMS.
  • Serves as document and records management subject matter expert during regulatory surveys.
  • Analyzes new documents and policies ensuring approved templates and procedural processes are met in alignment with KHI organizational and ISO 9001:2015 QMS requirements.
  • Manages Policy Committee to facilitate policy development and changes aligned with accreditation, certification, and regulatory standards.
  • Manages Forms Committee to facilitate forms development and changes aligned with accreditation, certification, and regulatory standards.
  • Collaborates with Information Systems on the electronic forms platform management.
  • Ensures new documents are compliant with approved templates and procedures.
  • Directs document initiators, owners, and users in proper document and policy management to ensure compliance with all applicable procedures/regulations and instructs users with policy management system workflow related issues.
  • Conducts education and training to organizational leadership on document control processes aligning with ISO 9001:2015 QMS requirements.
  • Manages the periodic review of controlled documents and partners with document owners to ensure periodic reviews are completed within the required timelines.
  • Advances the continuous improvement of the policy and document management systems.
  • Other duties as assigned.
