About The Position

HCI Systems Inc. is a rapidly growing low-voltage contracting company based in California. We are seeking a driven and detail-oriented Accounts Payable Specialist to join our team in Ontario. This role will support the accounting department, ensuring accuracy in invoice posting across our business entities, HCI Systems, Control Systems and CMD Electric.

Requirements

• Associate‘ s degree or equivalent work experience.
• 2-3+ year s of Accounts Payable experience within construction is .
• Ensure a high level of confidentiality and professionalism in all interactions.
• Ability to prioritize and meet deadlines in a fast-paced environment.
• Driven, detail-oriented, and highly organized .
• Ability to manage a heavy workload efficiently and accurately.
• Exceptional customer service and professional phone etiquette.
• Team player who contributes to a positive and collaborative work environment.

Responsibilities

• Post invoices accurately across multiple business entities - HCI Systems, Control Systems and CMD Electric.
• Process a high volume of approximately 45 –100 invoices per day accurately and efficiently.
• Enter and p ost invoices into the accounting system accurately and efficiently .
• Verify and match packing slips with corresponding POs and invoices.
• R equest payment approvals from p roject managers .
• P erform weekly check runs .
• Reconcile vendor and credit card statements.
• Assist with end-of-month closing duties and miscellaneous data entry.
• Maintain compliance documents and obtain vendor lien releases.
• Assist with phone calls as needed.
