About The Position

We are searching for dynamic, results-oriented specialists with clerical accounting and bookkeeping skills to support ongoing public health response operations. These positions provide accounting services across multiple funding sources as part of a team of professionals providing a coordinated, centralized financial management system for ongoing response operations. Depending on the assignment, the incumbent will be assigned to the Accounts Payable Unit.

Requirements

  • Two years of clerical accounting, bookkeeping, or administrative experience
  • High school diploma or GED
  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis.
  • All employees, within one month of hire, will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health. Required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chicken pox), and annual Influenza. Some positions require a Hepatitis B vaccine and/or a Tuberculosis test.
  • Must obtain Maricopa County Certified Agency Procurement Aide (CAPA) certification within two months of hire.

Responsibilities

  • Processes high volume of invoices for payment and indexes from OnBase into CGI Advantage finance system.
  • Compile and process invoices for wireless services (Verizon), photocopy equipment services (Ricoh), and other invoices as needed on a P-Card across multiple divisions to appropriate accounting codes and conduct periodic audits.
  • Reconciles P-Card and ensures that each transaction was posted to proper program, prepares P-Card document package for finance supervisor review and approval of P-Card statement.
  • Performs the function of travel coordinator in the absence of the travel coordinator or when the workload requires.
  • Serves as liaison between department and vendors in resolving invoice/account problems and inquiries.
  • Confers with operating staff, vendors, contractors, and others regarding invoices and payment status.
  • Researches and resolves issues associated with purchase and payment documents, provides information for audits as needed.
  • Assist team with training, research, logging, filing, and/or special projects.
  • Acts as courier to the County finance office for various financial documents.
  • Creates and maintains desk procedures.
