Accounting Specialist- AP

About The Position

The Accounting Specialist – AP contributes to the Port of Bellingham operations as a member of the Finance team and is responsible for Port-wide Accounts Payable processing.

Requirements

  • High School Diploma or GED.
  • Ability to perform arithmetic calculations required.
  • Computer skills in data entry, word processing, and spreadsheet applications required.
  • Valid Washington State driver’s license is required.

Nice To Haves

  • Associates Degree in accounting, business, or related field.
  • Three years of experience in accounting or data entry preferred.

Responsibilities

  • Receive all incoming purchase orders, review for proper completion and approval. Maintain in logical electronic filing system for subsequent matching with invoice.
  • Receive all incoming invoices and pre-audit including match to purchase order or agree to contract, verify mathematical accuracy, verify account coding and route for appropriate approval.
  • Enter all invoices into web-based accounts payable software. Print data entry postings prior to payment and review amounts and account coding for accuracy.
  • Prepare checks and ACH payments on a weekly basis as required. Maintain check filing system. Void checks as necessary.
  • Prepare extraordinary check listing and voucher certification for auditor's review.
  • Communicate with vendors and staff regarding accounts payable questions.
  • Maintain current federal tax identification on appropriate vendors and prepare year-end 1099 reporting.
  • Maintain adequate supply of check printing paper.
  • Special projects, primarily research and reporting on accounts payable information, as assigned.
  • Provide back up for the front desk.
  • Performs other duties as assigned.
