About The Position

The Accounting & Administrative Specialist will work under the direction of the Office Manager in various areas of Accounting, Inventory, Sales Support, Contracts while working closely with customers, key stakeholders in the brands we support, and management. The responsibilities of a successful Accounting & Administrative Specialist include the following:

Responsibilities

  • Responsible for creating and invoicing all sales invoices for customer orders in a timely manner including invoicing system sales, parts orders, repairs, telephone support, advance exchanges, menu maintenance, travel expenses, etc.
  • Responsible for ensuring Sales Orders are entered into the CRM tool accurately.
  • Responsible for assisting in retrieving setup paperwork from customer
  • Responsible for assisting in Lucas internal inventory tracking procedures including following up on unreturned equipment exchanges
  • Responsible for overseeing and data entry of monthly inventory counts.
  • Responsible for advising management of any significant billing or customer issues that arise.
  • Responsible for reviewing Service Orders in CRM/PSA.
  • Will assist with other invoicing tasks as needed.
  • Develop working knowledge of our solutions, services, new and existing products being offered by the company.

  • Responsible for creating new customer files and filing
  • Responsible for entering payables into the accounting system and scheduling payments.
  • Responsible for sending daily invoicing reports, weekly payables reports, and daily deposits reports to the management team.
  • Responsible for accounts receivable deposits.
  • Responsible for reconciling accounts including the company credit card accounts, third party billing, and retainers.
