About The Position

This position, under the supervision of the Accounting Supervisor, is responsible for providing accounting assistance to various Accounting Bureau staff to ensure compliance with Generally Accepted Accounting Principles (GAAP), Governmental Accounting Standards Board (GASB), and state and federal regulations. The position is also responsible for system development, technical assistance, and administrative duties as assigned. This position offers the opportunity to telework, but requires weekly in-office day(s) in Helena, and the employee must reside in Montana.

Requirements

  • Knowledge of the theories, principles, practices and procedures of governmental accounting and Generally Accepted Accounting Principles.
  • Knowledge of state and federal policies and laws.
  • Ability to use and learn automated accounting and financial software.
  • Ability to plan, organize, gather information and conduct research.
  • Ability to identify and resolve problems effectively.
  • Ability to operate a personal computer and general office equipment as necessary to complete essential functions, including using spreadsheet, word processing, database, email, internet and other computer programs.
  • Combination of education and experience equivalent to a Bachelor’s Degree in Accounting, Business Administration, Finance, Economics, or a closely related field and two years of accounting experience.

  • Experience with SABHRS Financials Accounts Payable, Accounts Receivable, and Travel & Expense modules is preferred.

Responsibilities

  • Assist in financial capacities including preparation of schedules, analyses, and reports to agency managers.
  • Responsible for researching unusual transactions, utilizing queries and various source documents to determine appropriate accounting treatment.
  • Recommend solutions and perform corrections when necessary.
  • Review and approve of varying routine transactions on a daily basis, such as journals and claims/payments.
  • Recommend correcting journal entries and financial accounting and reporting needs as appropriate.
  • Analyze non-routine financial transactions to ensure consistent accounting treatment and compliance with department, state accounting policies, and federal regulations as applicable.
  • Review Department fleet, aviation, and gas (WEX) expenses monthly.
  • Reconcile and complete required entries to recognize program use expenses and program management revenues.
  • Assist in State Procurement Card (ProCard) oversight, including monitoring ProCard expenses not submitted, expenses outstanding/waiting for approval, and expense reports in error.
  • Recommend solutions and offer assistance to Department employees with use of the expense reporting system as necessary.
  • Assist in the license drawing process, including reconciliation, refunds, and other drawing related needs.
  • Assist in aspects of closing the books at fiscal year-end including capturing all accruals, performing journal entries, monitoring trial balances on a regular basis to identify potential concerns, and revenue recognition.
  • Provide basic assistance to all internal staff, other agencies’ staff, and legislative staff to help ensure uniform accounting standards statewide.
  • Assist with administrative duties such as updating web site, running reports, ordering office supplies or other miscellaneous duties as assigned.
