About The Position

We are seeking a detail-oriented and collaborative Account Support Associate to join our team and play a key role in supporting seamless client service operations. This position is responsible for working closely with Client Service Associates (CSAs), Advisors, and the Trust Operations team to facilitate financial transactions, manage distribution schedules, and support new account openings. The Account Support Associate ensures accurate and timely execution of key processes that are essential to client satisfaction and operational excellence. The ideal candidate is highly organized, process-driven, and thrives in a team-oriented environment. They will excel at managing multiple priorities, maintaining accurate records, and coordinating across departments to support the client experience. A strong commitment to service, attention to detail, and the ability to uphold fiduciary standards are essential, as this role directly contributes to TCO’s mission of acting in our clients’ best interest.

Requirements

  • 1–3 years of experience in a financial services environment, preferably in a support or operations role.
  • Familiarity with financial transactions, including wire transfers, ACHs, and account opening processes, is preferred.
  • Ability to handle sensitive financial documentation with discretion and in accordance with regulatory requirements and company policies.
  • Strong organizational skills to manage multiple priorities, meet deadlines, and support operational efficiency.
  • Excellent written and verbal communication skills with the ability to interact professionally across teams; demonstrated ability to resolve issues promptly and effectively; strong time management skills, especially in a fast-paced environment with varying client demands.
  • Clear and professional communication skills, both written and verbal, with the ability to maintain accuracy and professionalism in all client and internal interactions.

Responsibilities

  • Set up and maintain client accounts, including new account creation, updates, audits, and documentation
  • Complete new account opening tasks after receiving signed forms and preferences from the Client Service Associate.
  • Obtain new account numbers from the assigned book.
  • Complete the account opening in CSS with information from the CSAs.
  • Set up statements and variable payout ticklers for new accounts.
  • Transmit electronic access requests to Operations.
  • Provide updates to Advisors and Client Service Associates once the new account process is complete.
  • Store relevant documents in Trust Notes.
  • Track and process all money movement for client accounts not handled by the Trust Operations team, including outgoing wires, ACH, checks, and transfers
  • Ensure the money movement workflow for all distributions is followed, including:
  • Monitor and manage the shared inbox for incoming transaction requests.
  • Initiate processing of transactions upon receiving requests from Advisors or CSAs.
  • Consult with Operations officers for approval of transactions that exceed thresholds.
  • Save all supporting documentation (emails, CSS screens, attachments) to Trust Notes.
  • Mail checks and invoices as required.
  • Respond to the original requester once the transaction is complete.
  • Manage and maintain tickler setup for distributions
  • Set up new distribution ticklers as requested and needed.
  • Ensure the setup and workflow for tickler management is followed, including:
  • Process tickler setup requests from the shared inbox.
  • Ensure all accounts have a variable payout tickler for ACH distributions to clients.
  • Set up ticklers during the account opening process.
  • Complete required scanning and document management tasks
  • Perform additional document scanning as needed to ensure all records are current and properly archived in accordance with company, financial, and legal standards.
  • Oversee and manage OD (Original Document) files by creating new files and storing them appropriately.
  • Other duties as assigned.
