Requirements

  • At least 2 years in a coordinator, project coordinator, or account coordinator role and you can speak to managing many concurrent workstreams under real time pressure.
  • Exceptional writing skills; proposals, emails, application materials, and documentation must be clear, professional, and error-free.
  • Excellent written and verbal communication skills.
  • Experience supporting a sales or Business Development (BD) team, understanding the pace and stakes of a commercial environment and proactively keeping pursuits moving.
  • Proficiency with CRM platforms (e.g., Salesforce, Pipedrive).
  • Background in professional services (agency, consulting, or development firm experience) to understand custom, project-based work and client relationship dynamics.
  • Experience with proposals or contracts, including SOWs, RFP responses, and MSA negotiation logistics, understanding the workflow and clean close processes.
  • Ability to manage 10+ concurrent opportunities simultaneously with zero dropped handoffs (scheduling, inputs, approvals, and deliverables).
  • Ability to maintain HubSpot pipeline data reflecting reality at all times: deal stages, close dates, contact records, and activity logs updated without prompting.
  • End-to-end management of professionally formatted, internally consistent, client-ready proposals from gathering inputs to final delivery.
  • Ability to schedule and facilitate internal prep meetings; ensure delivery team alignment before every client-facing interaction; obtain required approvals before any proposal goes out.
  • Ability to track redlines, manage signature workflows, and coordinate MSA/SOW execution through a clean close.
  • Ability to maintain and improve templates, checklists, and workflow documentation to ensure institutional knowledge is captured.

Responsibilities

  • Own the pursuit lifecycle. Act as the central point of contact for all logistics across 10+ concurrent new-logo sales opportunities, from qualification through signed contract.
  • Keep the pipeline honest. Track every active deal in HubSpot with current stage, next steps, and owner. CRM hygiene is not optional, it's your core product.
  • Produce polished proposals. Gather inputs from sales and delivery, assemble drafts, route for review and approval, and deliver client-ready materials that reflect Praxent's brand standard.
  • Align delivery on every pursuit. Ensure the right delivery team members are included in the right meetings and that internal prep sessions happen before every discovery call and proposal presentation.
  • Coordinate MSA and SOW execution. Track redlines, route documents for internal review, manage signature workflows, and ensure clean handoffs through close.
  • Be the connective tissue. Proactively surface scheduling conflicts, resource gaps, or alignment issues before they become client-visible problems.
  • Support the VP of Sales. Assist with pipeline reporting, meeting preparation, and administrative coordination to keep the commercial motion running at pace.
