Your Role: We are seeking an Account Coordinator to provide operational, administrative, and client support to leadership, working closely with the Global Accounts Director. This role is responsible for keeping client communications, active opportunities, and internal workflows organized and progressing, supporting both leadership efficiency and revenue growth. The Account Coordinator also maintains momentum across the sales pipeline, supports proposal development, and facilitates organized handoffs to the project team, ensuring projects are clearly scoped, well documented, and executed efficiently in a fast-paced environment.

Requirements

  • 1-3 years of professional experience in coordination, sales support, project support, administrative roles or customer service
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills

  • Bachelor’s degree in a related field
  • 4+ years of professional experience in coordination, sales support, project support, administrative roles or customer service
  • Experience with the software tools used in this role, including PandaDoc and Monday.com

Responsibilities

  • Support the management of active client opportunities, ensuring timely, organized communication and consistent follow-up to drive progress
  • Draft and send follow-up communications based on client conversations, proposals, and next steps
  • Coordinate meeting scheduling and manage calendars with clients and internal stakeholders
  • Track proposals, client responses, and next steps to maintain sales pipeline visibility
  • Assist with building, formatting, and updating client proposals, scopes of work, and quotes using PandaDoc
  • Maintain standardized proposal templates and ensure consistency across client-facing materials
  • Maintain CRM accuracy and ensure all pipeline activity, client notes, and next steps are properly documented
  • Track contract terms, renewal dates, and sponsorship timelines
  • Transfer finalized scope details into project management tools (e.g., Monday.com) and create structured project boards
  • Coordinate internal scope confirmation prior to contract execution while supporting seamless handoffs between sales and project management teams
  • Support small client-related tasks, internal initiatives, and marketing efforts as needed
  • Performs other duties as assigned
