About The Position

GMR is looking for an Account Coordinator to join our Events + Venues team and play a key role in bringing experiential marketing programs to life by assisting with procurement, payments, invoice processing, and vendor coordination. You’ll collaborate closely with internal GMR teams and external partners, keeping financial, contractual, and compliance tasks on track and accurate. Requirements

  • Procurement & Vendor Support. In this role, you will support procurement and vendor coordination efforts by sourcing and securing hospitality, catering, transportation, and ticket-related needs for experiential programs. You will collaborate closely with internal teams and external vendors to gather details, confirm availability, and ensure requests are fulfilled accurately and on time. As program needs evolve, you will also assist with additional events and venue sourcing, procurement, and payment-related support, bringing flexibility and a solutions-oriented mindset to help keep programs moving forward seamlessly.
  • Payments, Invoicing, & Reconciliation. You will help manage payments and invoices for all program-related expenses, from lodging and catering to event tickets and transportation. You’ll review invoices for accuracy, resolve discrepancies with vendors and internal teams, reconcile department credit cards, and create purchase orders. Strong attention to detail and a foundational understanding of accounting and financial processes will ensure everything is accurate, timely, and compliant.
  • Contracts, Compliance, & Reporting. In this role, you’ll help keep contracts and invoices on track while supporting internal reporting. You’ll review invoices to determine when contracts are needed, ensure agreements are fully executed and properly documented, and coordinate approvals with internal teams. You’ll also maintain accurate records, update program codes, and keep backend reporting, checklists, and systems organized to support approvals, reporting, and reconciliation.
  • Communication & Collaboration. You communicate with confidence, professionalism, and positivity when working with internal teams and external vendors. Strong customer service skills allow you to build productive working relationships, resolve questions efficiently, and support cross-functional collaboration across programs.
  • Flexibility & Attention to Detail. You are comfortable balancing multiple programs and deadlines at once, adapting to shifting priorities in a fast-paced environment. You maintain a high level of accuracy across systems and documentation, helping ensure compliance standards are met in all aspects of the work.
