About The Position

The Academic Services Specialist provides administrative support to the Clough School of Theology and Ministry's academic operations, including the Associate Dean, Academic Affairs, the Associate Dean, Finance and Administration, the Associate Dean for Faculty, Program Directors, Area Coordinators, and the faculty. In this capacity, the Academic Services Specialist is a key member of the overall administrative team, with a special focus on faculty-related operational, HR-related, and administrative responsibilities. Related to the academic mission, this position is involved in support for hiring and onboarding part-time faculty, including drafting contracts; supporting faculty searches and onboarding full-time faculty; supporting review, promotion and tenure processes; managing the application and visa process for visiting scholars; and curriculum-related administration, assisting Area Coordinators, Program Directors, and the Curriculum Committee Chair in these functions. This position serves as a resource for a wide variety of constituents and requires the ability to be aware of university resources and policies and have excellent interpersonal skills in the areas of creative problem-solving, conflict resolution, group planning, and decision-making processes. This position interacts with high-level administrators on sensitive matters related to faculty and student information and requires discretion, tact, and confidentiality. This position also supports special and ad-hoc projects at the request of the Dean’s Office. Located in the CSTM Service Center, this position also includes some general administrative support including greeting guests, responding to inquiries, and providing assistance to CSTM faculty, staff, students, as well as campus partners and the wider public, as well as some fiscal responsibilities. This position serves as a central resource for managing certain processes, identifying potential issues, and providing regular data reports for the CSTM’s Dean and Associate Deans. This individual also serves as a liaison to university offices such as the Office of International Students and Scholars, the Provost’s Office, Media Technology Services, the Center for Teaching Excellence, the Center for Digital Innovation in Learning, and Human Resources.

Requirements

  • Must be able to work independently, multi-task, prioritize the workload, and demonstrate flexibility and teamwork within a customer-oriented environment.
  • Must be comfortable operating in a matrixed environment in which demands from multiple constituents must be balanced.
  • Because this role processes many HR and financial transactions and has access to student data and faculty files, a high level of professionalism, discretion and confidentiality is necessary.
  • As the role with primary responsibility for executing HR and financial transactions, an attention to detail and accuracy is absolutely critical.
  • Must have clear and concise verbal and written skills and the ability to effectively communicate with diverse audiences.
  • Computer skills, including strong Google Suite, and MS Office, as well as a demonstrated willingness to learn specific technical packages as required.
  • Must have proven data collection and analysis skills.
  • Strong communication and organizational skills.
  • Discretion and professionalism are critical.
  • BA preferred.
  • Background in academic operations strongly preferred.
  • Two to three years of progressively responsible office experience in academia.
  • A demonstrated ability to write and edit a variety of professional documents.
  • Experience with HR administration and transaction processing strongly preferred.
  • Experience with data collection and analysis preferred.
  • Ability to work occasional evening hours (event support) and occasional Saturdays depending on the demands of the academic schedule.

Nice To Haves

  • Basic LMS skills preferred.
  • Familiarity with academic operations, including programmatic assessment.
  • Familiarity with PeopleSoft HR and PeopleSoft Financials is a plus.
