About The Position

ACADEMIC PROGRAMS SPECIALIST 2 , Biology , manages the operations and administration of two interdepartmental PhD programs—Microbiology and Computational and Systems Biology (CSB)—serving about 80 students annually; ensures compliance with Institute policies, NIH training grant requirements, and program objectives while acting as the primary resource for students, faculty, and staff from admissions through graduation. Will lead recruitment and admissions efforts by coordinating Open Houses, campus visits, and conference outreach; maintaining recruitment materials across websites, social media, and print; managing the full admissions process; arranging interviews and visits; coordinating admitted student onboarding with MIT administrative offices; and overseeing academic advising and student progress. Requirements

  • A Bachelor’s degree
  • a minimum of three years of experience in an educational or administrative position
  • strong background in financial/account management is beneficial
  • a high degree of interpersonal and communication skills, organizational skills and initiative
  • detail-oriented
  • ability to manage a variety of tasks concurrently
  • ability to work both independently and as part of a team and remain flexible as situations demand
  • ability to research and resolve complex problems, exercise sound and independent judgment, and anticipate needs
  • strong computer skills
  • advanced knowledge of database and spreadsheet software
  • the initiative and ability to identify and learn new skills as necessary and make informed and appropriate recommendations to improve program management and communications

Nice To Haves

  • Experience in a student services setting and/or advising students
  • master’s degree
  • advanced Filemaker and Excel experience
  • experience with WordPress
  • familiarity with platforms such as WebSIS, Odessey, Slate, Grade 20, Cognos, Coeus, and SAP/Sapgui
