About The Position

This on‑campus position plays a key role in advancing the work of the Office of the Provost by coordinating programs and committees that shape academic and institutional priorities. The role contributes to the effectiveness of academic governance and strategic initiatives by facilitating essential processes, developing and managing communications, organizing and participating in meetings, and maintaining accurate and accessible records that support decision‑making. In addition, this position partners with the Faculty Affairs Specialist to ensure the accurate administration of faculty additional pay and related financial activities. This position reports to the Associate Provost for Graduate and Professional Studies and collaborates with the other Associate Provosts as well as others in the Office of the Provost. This position has no direct supervisory responsibilities.

Requirements

  • Bachelor’s degree and a minimum of two years of professional office experience, or the equivalent combination of education and experience
  • Demonstrated ability to work independently, exercise sound judgment, and manage responsibilities with a high level of autonomy
  • Strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment
  • Excellent project management and organizational skills, including the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously
  • Proficiency with word processing, spreadsheet, and database software applications
  • Ability and willingness to learn new academic or administrative technologies
  • Ability to multi-task and handle sensitive and confidential information with discretion
  • Exceptional attention to detail and accuracy are required

Nice To Haves

  • Previous experience working with information, learning management, or customer relationship management systems in a college or university setting is preferred.

Responsibilities

  • Independently manage and execute administrative functions supporting select processes and committees overseen by the Associate Provosts. Responsibilities include proactively maintaining websites and project sites; independently administering processes and databases; facilitating college-wide assessment, accreditation, program review, and non-degree registration workflows; monitoring and tracking motions and proposals; preparing internal and external reports; and autonomously scheduling, organizing, and documenting meetings.
  • Manage communications, exercising professional judgment with faculty, staff, students, and internal and external stakeholders, ensuring timely, accurate, and appropriately messaged information is shared without requiring close supervision.
  • Manage events and programs to include speaker engagements, meetings, seminars, workshops, conferences, and special events, from planning through execution.
  • Collaborate with the relevant budget liaison and support the processing of financial transactions, ensuring accuracy and adherence to college policies.
  • Coordinate and execute benchmarking and data collection.
  • Partner in report development by collecting key data, drafting analysis and managing timelines.
  • Collaborate with other Office of Provost team members as needed, which may include managing event support (e.g., Commencement, Graduate Hooding, Whalen Academic Symposium, Oracle Society, and Phi Kappa Phi), maintaining websites or social media, and directing student employees to ensure completion of administrative tasks.
  • Participate in special projects and perform additional duties as assigned, demonstrating adaptability, sound judgment, and initiative in addressing evolving departmental needs.
  • Develop and demonstrate multicultural awareness and contribute to cultivating an inclusive, diverse, and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students, and visitors to the College.
