The Roadmap Planning & Program Management team sits at the intersection of strategy and execution with the aim of planning and delivering the company’s priority products while providing executives the visibility and input they require to guide major releases. You would be joining the business process and operations (BPO) sub-team which is responsible for streamlining processes, supporting strategic initiatives and ensuring that operations are carried out efficiently across the organization. The Workshop Operations Manager, a senior individual contributor role, focused on the planning, scheduling and coordinating the key discovery and decision making forums in support of the Executive CEO Workshop schedule. This advanced operational role is responsible for designing and sustaining the processes, tools, and automations for what is our Workshop Operating System - the operational backbone that connects the company's product roadmap teams to its most senior leaders. The Workshop Operating System is what enables leaders to review the right work at the right time.

Requirements

  • 7+ years of experience in operations, program coordination, or business process management in a fast-paced, dynamic environment.
  • Role is located in the SF Bay Area with frequent work happening in office.
  • Demonstrated ability to design, build, and scale operational systems - not just use existing tools, but design the infrastructure that others rely on.
  • Experience collaborating directly with executive C-suite and VP-level executive assistants, exercising strong judgment for prioritization and navigating ambiguity.
  • Excellent verbal and written communication skills that can simplify complex operational landscapes at a variety of altitudes.
  • Expertise in operational tooling such as Airtable, GSuite, or similar platforms, including experience with automation and scripting.
  • Proven ability to influence without direct management authority: build trust, negotiate trade-offs, and drive alignment across cross-functional stakeholders with competing priorities.

  • Experience in tech or consulting sectors preferred.
  • 4-year degree in business or a related field preferred.

Responsibilities

  • Proactive partnership with key stakeholders like C-suite EAs, Program Managers and functional stakeholders to ensure the Workshop Operating System is connected to leaders who are responsible for how the business is growing and scaling to achieve company goals.
  • Flawless execution of daily tasks and maintaining standard workflows, including complex scheduling and prioritization management across various stakeholders and functions, data gathering on existing workflows or timeline management.
  • Demonstrated ability to influence without direct authority, negotiating priorities for time allocation across cross-functional teams, and building the trust and credibility needed to drive alignment when stakeholders have competing needs.
  • Demonstrated systems thinking, attention to detail, the ability to zoom out and see cross-functional dependencies, and the judgment to make real-time prioritization trade-offs.
  • Identifying bottlenecks or areas of process and/or communication improvements.
  • Balancing the demands of leaders and cross-functional working teams under tight timelines and rapidly changing circumstances.
  • Design, build, and continuously improve the Workshop Operating System (WOS) infrastructure that powers the workshop process - going beyond maintaining tools to architecting them for scale.
  • Schedule and prioritize weekly meetings for leaders to support the execution of the company roadmap, ensuring all meeting requests are complete and accurate.
  • Partner and collaborate closely with C-suite and VP-level executive assistants and business partners to prioritize meetings and navigate scheduling conflicts, negotiate competing priorities, following up with requestors, managing daily change requests across multiple channels, bringing clarity out of complexity and communicating clearly and in a timely manner to all stakeholders.
  • Collect and triage executive feedback in partnership with program leadership, driving issues to resolution and escalating for guidance when necessary.
  • Coordinate with other roadmap planning and business process and operations colleagues to ensure the entire operations system is optimized for supporting leaderships’ needs.
  • Operate with the highest standards of integrity, credibility, and trustworthiness; maintain confidentiality of highly sensitive information and data.
