Job Summary The Workshop Coordinator is the primary resource responsible for interaction with and outreach to federal agencies, human resource personnel and other contacts allowing to implement recurring federal employee benefit educational workshops. The incumbent is responsible for outreach to federal agencies and federal employees to initiate well attended workshops. The incumbent must manage multiple priorities and deadlines working with sponsoring planners, federal employees and federal agency managers to insure that federal market workshops are well attended, respected within the federal agency environments served and is productive for the sponsoring planner clientele. The Workshop Coordinator I also works with sponsoring planners to coordinate proper timing and coaching for successful events as well as outreach to attendees on behalf of sponsoring planners post-event.

Requirements

  • Excellent interpersonal relationship skills and the ability to effectively persuade individuals to undertake a particular course of action or commitment.
  • Leadership skills and abilities including the ability to effectively follow and implement a business and/or strategic plan.
  • Ability to manage multiple relationships, tasks and priorities successfully to ensure a consistently positive relationship with all clienteles.
  • Competence with use of office business productivity systems including networked PC and related business software applications including Word, Excel, PowerPoint, Teams and navigation of the internet and applicable company related websites.
  • Demonstrated ability to communicate effectively and assertively in verbal and written formats.
  • Demonstrated ability to achieve goals and drive results allowing the company to achieve goals as outlined.
  • Proven ability to proactively address change, shifting priorities, deadlines and multiple demands.
  • 2-4 years of successful Sales, Marketing, or Customer Service experience, preferably in the financial services industry.
  • High school diploma or general education degree (GED) mandatory.

Responsibilities

  • Outreach – WORKSHOP ORGANIZATION – responsible for outreaching to federal agencies to seek their interest in and permission to conduct federal benefits workshops in agencies and geographies targeted by sponsoring planners. The incumbent is responsible for organizing all aspects of the workshops and ensuring that an adequate number of federal employees are in attendance. Success in this essential duty will be demonstrated by consistently high turnout rates to sponsored federal workshops nationally. In summary the Workshop Coordinator I seeks permission, organizes and ensures high attendance through their efforts on behalf of up to 20-30 workshops monthly for sponsoring planners.
  • Outreach – WORKSHOP REGISTRATION AND FULFILLMENT – responsible for creating compelling advertising to generate interest in workshop. The Workshop Coordinator I must use timely, consistent, and repetitive outreach to agency employees where a workshop has been organized through marketing campaigns. The result of this essential duty is that each workshop is filled with the desired number of employees, that information is registered properly on each potential attendee through an organized registration process and a repetitive announcement/reminder system is utilized to insure low drop off rates of registrants versus attendees. Additional thought leadership in innovating and increasing attendance is welcomed and encouraged.
  • Outreach – WORKSHOP LOGISTICS – responsible for ensuring that all logistical elements of the workshop are fulfilled including timely delivery of course materials, registration of potential attendees, communication to agency employees and managers and related logistics resulting in a well-organized and executed workshop for the sponsoring agencies, instructors and sponsoring planners.
  • Outreach – WORKSHOP TECNHOLOGY – responsible for maintaining the integrity and data cleanliness for database materials associated with federal market workshops, collaborating with team members to troubleshoot and optimize use of software to run programs.
  • Operational/Administrative– The Workshop Coordinator I will be responsible for assisting with, implementing or conducting a wide range of operational and administrative duties related to the smooth and efficient operation of workshops, including but not limited to data analytics pertaining to the health of workshop operations and timely consumer outreach.
