The Workplace Services Coordinator plays a critical role in supporting NBCUniversal’s corporate, creative and third-party tenants by delivering a white-glove, best-in-class workplace and tenant experience across our large and diverse building and space offerings. This role serves as a trusted partner and liaison for business units, term deals and third parties, handling a wide range of requests and ensuring that the highest level of operational support is provided to help drive the business and create amazing content here at NBCUniversal. You will be a team player working across numerous workplace service functions while always maintaining a core focus on delivering an exceptional, end-to-end customer experience.

Requirements

  • Bachelor’s degree in related field
  • 2+ years clerical and/or business administration experience
  • Communicates with ease – You have a way with words; written and verbal
  • Juggler – You know how to manage multiple tasks and priorities and move them all along effectively while keeping stakeholders updating and informed
  • Self-starter – You are motivated, can work with minimal guidance, and can identify helpful resources to get the job done
  • Impeccable attention to detail – You bring customer requests to life by organizing the team’s daily work plans and scheduling commitments. The studio operations team will excel with your keen attention to work due dates and schedule commitments
  • Executer – You get things done! Using strong business acumen, inciteful analytical skills, and superior organizational skills you manage through competing priorities within a matrixed environment
  • Tech-savvy – You are an MS Office whiz and can take on new software with ease

Responsibilities

  • Collaboration daily with the broader Studio Operations team with key partners and colleagues across Facilities along with major stakeholders and contributors in HR, Tech Ops, Telecom, Finance, along with Business Unit representatives.
  • Provide project coordination support for office refreshes including furniture, paint, electrical, and other trades as needed.
  • Lead and support office moves of various size and complexity.
  • Input all projects into shareable databases for proper tracking and collaborating with other teammates.
  • Work effectively across both corporate office and creative tenant / term deal functions.
  • Assist with fostering & building vendor/internal department relationships to effectively fulfill client expectations while ensuring company policy and procedures are followed.
  • Outside vendor communication, scheduling, and thorough documentation of punch list items.
  • Work with supporting teams to troubleshoot issues that arise and maintain constant communication throughout the process.
  • Interface with IT and Telecom to set up work areas with required equipment.
  • Working closely with building management, security, and cleaning crews to maintain a safe and comfortable work environment.
  • Daily interaction with work ticketing systems.
  • Learn and assist with tenant billing tools and technologies including Sphere.
  • Compile and deliver capacity and occupancy information for proper reporting.
  • Manage Zone Maintenance areas to identify and resolve maintenance issues. Ensure information is entered into a work order to track progress and report on results.
  • Update and distribute monthly reports and various notifications as needed.
  • Scout office space with the customer to understand tenant requirements and assess building conditions prior to occupancy.
  • Reset suites post move-out back to building standards.
  • Manage art inventory and assist clients with ordering new artwork and frames.
