About The Position

As Notion's Workplace Experience Manager, you'll be the architect of daily life in our San Francisco headquarters-a 120,000 square foot space where exceptional operations meet intentional design. This on-site role combines strategic facility leadership with hands-on execution, requiring someone who can negotiate vendor contracts, optimize seating plans with data-driven insights, and create signature workplace experiences that make our Anchor Days (Mondays and Thursdays) something teams look forward to. You'll own everything from preventive maintenance systems to AI-powered workplace innovations, ensuring our physical environment scales as elegantly as our product. You'll be the driving force behind Notion's San Francisco headquarters operations-owning everything from day-to-day facility management to long-term space transformation. Our SF office is 120,000 square feet and growing, requiring strategic vendor partnerships, employee experience design that reflects Notion's culture, and data-driven seating and space strategies that optimize for both collaboration and focused work. This role demands someone who can balance strategic vision with hands-on execution-someone with a "no job too small" attitude who can also develop preventive maintenance strategies and scalable facility systems. You'll create signature workplace experiences, maintain clear communication channels with employees, champion AI integration across workplace operations, and ensure the physical workspace evolves in step with Notion's growth. Your work will directly support our Anchor Days policy (Mondays and Thursdays in-office) while creating an environment that makes teams excited to collaborate in person.

Requirements

  • 5+ years leading workplace operations and facility management with proven ability to scale systems and processes across large-scale environments (50,000+ sq ft)
  • Strategic project management expertise in construction, office fit-outs, or build projects with budgets exceeding $10M, capable of global implementation
  • Exceptional stakeholder management and communication skills with high emotional intelligence to collaborate effectively across global teams and drive alignment
  • Data-driven problem solver who combines creative thinking with strong risk assessment capabilities and budget optimization experience
  • Hands-on leadership approach with a "no job too small" mentality balanced by strategic vision to drive both day-to-day operations and long-term workplace transformation

Responsibilities

  • Strategic Workplace Leadership: Lead comprehensive workplace operations with a focus on efficiency and innovation. Develop preventive maintenance strategies and facility system improvements that align with organizational growth.
  • Vendor & Facilities Management: Build and maintain strategic partnerships with service providers. Negotiate service agreements and implement scalable solutions across all facility services, including janitorial and security programs.
  • Employee Experience & Community Building: Design and support the Workplace team in implementing initiatives that enhance workplace satisfaction. Develop employee touchpoints and create signature workplace experiences that reflect company culture.
  • Space Strategy: Develop and implement a data-driven seating plan that optimizes collaboration while addressing functional needs. Complete annual office seating changes, including neighborhood layouts for team adjacency and dedicated collaboration spaces.
  • Project Lifecycle Support & Communication: Assist the Real Estate Program Manager with the SF HQ project-managing timelines, tracking milestones, coordinating stakeholder communication, and documenting space planning. Communicate regularly with SF employees on updates and maintain current internal documentation.
  • AI Integration Leadership: Champion AI solutions across workplace operations to enhance efficiency, optimize resource allocation, and create data-driven workplace improvements that set industry standards.
