About The Position

We are seeking a highly organized, proactive, and detail-oriented Workplace Experience Assistant to support the day-to-day operations of our office. This part-time contractor role is essential in maintaining a smooth, welcoming, and well-functioning workplace environment for employees, clients, and guests. This individual will work closely with and support the Experience Manager in executing key workplace initiatives and ensuring a seamless office experience. Location: In-office (4 days/20 hours per week) Schedule: Monday - Thursday, 9:00 AM – 2:00 PM Contract Duration: 3 months (with potential to extend)

Requirements

  • Ability to lift and carry items up to 30 lbs
  • Comfortable standing, walking, and moving throughout the office for extended periods of time
  • Ability to bend, reach, and perform light physical tasks such as stocking supplies, organizing storage areas, and setting up spaces
  • Comfortable handling deliveries, including transporting packages within the office
  • Ability to assist with light setup and breakdown of meetings and events (e.g., moving chairs, tables, or supplies)
  • Fully in-office role requiring regular interaction with employees, guests, and vendors
  • Strong organizational and multitasking skills
  • Proactive and resourceful with a “see something, solve something” mindset
  • Clear communication and follow-through
  • Comfortable working independently while collaborating closely with the Experience Manager

Nice To Haves

  • Prior experience in office coordination, facilities, or hospitality is a plus

Responsibilities

  • Stock and maintain kitchen and studio areas (snacks, beverages, refrigerators, paper goods, water coolers)
  • Monitor inventory levels and ensure spaces are clean, organized, and fully supplied
  • Order and restock groceries, coffee (including Nespresso), and paper products
  • Conduct regular building walkthroughs to identify maintenance or operational issues
  • Assist with coordination and follow-up on building projects and vendor work (e.g., plumbers, electricians, contractors, landscapers)
  • Report and track issues with IT support group
  • Partner closely with the Experience Manager to support workplace initiatives and daily operations
  • Provide support for company events, conferences, and internal gatherings – setting up meeting areas, moving folding chairs, etc.
  • Assist with client visits, ensuring a polished and welcoming experience
  • Help coordinate employee and client gifts and “delight” moments
  • Manage incoming and outgoing shipments, deliveries, and mail distribution
  • Coordinate with carriers and internal teams to ensure timely handling of packages
