About The Position

About the Role You are the architect of our digital workplace experience and the primary guide for employees navigating our office technology. You will balance technology focused data work—managing workplace systems and building utilization dashboards—with employee-facing engagement, acting as the primary point of contact for employees navigating our physical and digital workspaces. You are responsible for the strategy, integration, and analysis of our workplace tool ecosystem, and will manage the day-to-day administration and optimization of our workplace tools in partnership with stakeholders. You will ensure our systems (desk booking, SAP, and space management) are running smoothly while extracting the data needed to tell the story of how our offices are being used. You will maintain and improve upon the "source of truth" dashboards that help shape our global portfolio strategy and feed into the design for our physical workspace. Dow Jones Real Estate & Workplace Team is seeking a senior coordinator who will report directly to the Sr Manager, AMER Real Estate & Global Workplace Evolution based in our NYC office.

Requirements

  • Experience: 3+ years of experience in Workplace Operations, Real Estate, or a Business Analyst role.
  • Tech Stack Proficiency: SAP, Experience with platforms like Kadence / iOffice, Avuity, or ServiceNow.
  • BI Tools: Advanced proficiency in Tableau.
  • Data Handling: Strong SQL skills and Excel mastery (vlookups, pivots, and complex modeling are second nature).
  • Data Skills: Excel Mastery: You should be comfortable with pivot tables and data cleaning.
  • Visualization: Basic to intermediate experience with Power BI or Tableau.
  • Detail Oriented: High level of accuracy is required—especially when managing seating charts or financial data where small errors have a large impact.
  • Communication: Ability to explain complex data sets to non-technical stakeholders in a way that prompts decision-making.

Responsibilities

  • Employee Experience & Support: Act as the front-line ambassador for workplace technology. Provide empathetic, patient, support for employees experiencing issues with desk bookings, meeting room tech, or wayfinding tools.
  • Systems Management & Administration: Oversee and optimize the workplace tech stack, including, but not limited to sensor platforms (Avuity) and desk booking software (Kadence). This includes managing user permissions, updating floor plans, and troubleshooting desk/room booking issues.
  • Data Integration: Ensure seamless data flow between HRIS (Workday/BambooHR), Finance systems (SAP), and Workplace tools to maintain high data integrity.
  • Metric Development: Define and track key performance indicators (KPIs) including: Utilization: Peak vs. average occupancy, neighborhood-level density. Efficiency: Cost per seat, rentable square feet (RSF) per head. Financials: Total occupancy cost, remaining lease obligations.
  • Visual Storytelling & Dashboards: Pull weekly and monthly metrics on space utilization, badge swipes, and headcount. Build and maintain "live", executive-level dashboards that visualize portfolio health and trends.
