SAIC is hiring a Workflow Manager to provide comprehensive administrative, operational, and organizational support to the Office of the Under Secretary of War for Research and Engineering (OUSW(R&E)) within the Mission Support Directorate. The Workflow Manager will act as a central point of coordination for teams, leveraging tools and technology to streamline processes and ensure alignment with organizational goals. The ideal candidate is proactive, detail-oriented, and skilled in coordinating cross-functional communications, overseeing resource management, and maintaining operational readiness for a dynamic DoW organization. This position is 100% onsite at the Pentagon in Arlington, VA.

Requirements

  • Education: Bachelor’s degree preferred (Business Administration, Management, or related field).
  • Experience: Bachelors and minimum of 10 years or Masters and 8 years supporting senior DoW or federal executives in an administrative or office management capacity.
  • Proficient in DoW administrative system (CATMS) and prior experience in OUSW(R&E) or similar acquisition environment.
  • Familiarity with DoW administrative systems (DTS, Defense Travel, etc.) and prior experience in OUSW(R&E), DoW resource management, or acquisition environments.
  • Proficient in utilizing the Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and other related tools.
  • Required Clearance: Active Secret clearance with the ability to obtain TS/SCI Clearance.
  • U.S. citizenship required.

Responsibilities

  • Prepare read-ahead materials, talking points, and follow-up task summaries for executive meetings, as needed.
  • Serve as the central point of contact for the Mission Support directorate, overseeing day-to-day administrative operations and front-office functions.
  • Manage office supplies, equipment, and workspace needs, coordinate procurement and maintenance requests.
  • Develop, document, and implement standardized workflows for business processes across teams and directorate, if applicable.
  • Monitor and analyze workflows to identify inefficiencies, bottlenecks, or areas of improvement.
  • Collaborate with stakeholders to refine or redesign workflows to achieve optimal results.
  • Ensure workflows are scalable and adaptable to meet evolving requirements.
  • Maintain process documentation and ensure it is up to date, accessible, and compliant with organization standards.
  • Prepare data inputs for office space portfolio reports and tracking, manpower reports, and projects reviews
  • Use the Department of War Correspondence and Task Management System (CATMS) to coordinate the Contractor and Staff Support Management package using the development and submission process.
  • Track all CATMS packages from initiation through approval, ensuring compliance with submission standards and timelines.
  • Maintain control, approval records, and process documentation for leadership visibility.
  • Manage taskers and action items using DoW task management systems (e.g., CATMS).
  • Draft, edit, and route correspondence, memoranda, and official communications in accordance with DoW policy.
  • Serve as the communication hub for the Mission Support Directorate, ensuring clear and timely information flow between divisions and external stakeholders.
  • Assist with processing parking requests and the management of parking allocations in support of the Mission Support directorate.
